Name Change in EPFO and UAN Records in Uttarakhand
When the name in your provident fund account does not match Aadhaar: who can now correct it online without papers, when the employer comes in, and what a joint declaration is.
A name change in EPFO and UAN records follows Aadhaar. Since January 2025, a member whose account number is validated through Aadhaar can update the name online without uploading a document. For some older accounts the employer certifies it, and where Aadhaar is not linked the request goes on paper. Correct Aadhaar first.

A name change in EPFO and UAN records used to mean a form, the employer's signature and a wait of weeks. For most members that has gone. This page explains name change in EPFO and UAN records for employees in Uttarakhand as it stands now: who can do it alone, who needs the employer, and where a Gazette still has a part.
We do not handle provident fund accounts. The member does, on the fund's portal. Our work is the Gazette, which comes in only where the name itself has changed and Aadhaar needs it first. For the employer's own record, read name change for government employees.
What Are the Fund, the Number and the Profile?
The Employees' Provident Fund Organisation holds the retirement savings of employees in covered establishments, and the pension that goes with them.
- Each member has a Universal Account Number, which stays the same across jobs. Each job adds a member identity under it.
- The member's profile carries the name, date of birth, gender, father's or mother's name, marital status and the dates of joining and leaving each job.
- The profile is linked with Aadhaar, PAN and a bank account. Together these are the account's identity check.
- A claim is paid, and an account transferred, only where the profile and those three agree.
A member's name first entered the record from whatever the first employer typed, often years ago and often from hearing. That is the usual source of a mismatch.
What Changed in January 2025?
The organisation simplified the online process for updating a member's profile. These points are from the announcement on the national broadcaster and from the minister's statement as reported.
| Point | Position |
|---|---|
| Members validated through Aadhaar | Can update the profile themselves, without uploading any document |
| What can be updated | Name, date of birth, gender, nationality, father's or mother's name, and the dates of joining and leaving, with marital status and spouse's name as reported |
| Account numbers issued after 1 October 2017 | No verification by the employer and no approval by the organisation is needed |
| Account numbers issued before that date | In certain cases the employer's certification is required. The employer can correct without the organisation's approval |
| Account numbers not linked with Aadhaar | The correction is submitted on paper to the employer, and forwarded to the organisation for approval |
The date matters because Aadhaar matching became mandatory for new account numbers from 1 October 2017. An account opened after that was checked against Aadhaar at birth. One opened before may never have been.
The portal's screens and the fine rules have been revised more than once since. Read the current instructions on the member portal when you sign in.
Which Kind of Member Are You?
| Your account number | Route | Who acts |
|---|---|---|
| Issued after 1 October 2017, validated through Aadhaar | Online, on the member portal | You alone |
| Issued before 1 October 2017, linked with Aadhaar | Online, with the employer's certification where the portal asks | You, then the employer |
| Not linked with Aadhaar, or no account number | A joint declaration on paper | You, the employer, then the organisation's office |
You can see when your account number was issued, and if Aadhaar is linked, on the member portal under your profile and the identity check section. If you do not know your account number, your salary slip or your employer's accounts section has it.
Which Case Is Yours?
| The situation | Example | Route | Gazette? |
|---|---|---|---|
| The fund record is misspelt, and Aadhaar is right | Record: Rajesh Sing. Aadhaar: Rajesh Singh | Update the profile online to match Aadhaar | No |
| Aadhaar is the wrong one | Aadhaar has a home name | Correct Aadhaar first, then the profile | No |
| A surname present on one and absent on the other | Record: Sunita. Aadhaar: Sunita Rawat | Update the profile to match Aadhaar | No |
| A married name | Record in the maiden name, Aadhaar in the married name | Update the profile to match Aadhaar, with marital status and spouse's name | No |
| A new name by choice | Rakesh Kumar, now Aarav Negi | Gazette, then Aadhaar, then the profile | Yes, for Aadhaar |
| Two account numbers in two spellings | A new number made at a second job | Correct both to Aadhaar, then merge by transfer | No |
| The member has died, and the family is claiming | The record and the death certificate differ | Paper route through the employer and the office | Ask the office |
In every row but one, the fund asks for nothing beyond a match with Aadhaar. The Gazette appears once, and there it is Aadhaar that asks for it.
How Do You Update the Name?
The screens change. This is the general method for a member linked with Aadhaar.
Step 1: Check the name on your Aadhaar
The fund will take the name from it. If Aadhaar is wrong, correct that first and wait for the update.
Step 2: Sign in to the member portal
With your account number and password. The mobile number linked with Aadhaar has to be in your hand for the code.
Step 3: Open your profile and the identity check section
See the name as the fund has it, and confirm that Aadhaar is linked and verified.
Step 4: Open the option to modify basic details
It is under the manage menu, where the joint declaration also sits.
Step 5: Enter the name exactly as on Aadhaar, and confirm with the code
Correct the father's name, date of birth and gender in the same request if they need it.
Step 6: See where the request has gone
Approved at once, or pending with your employer. The portal shows the status.
Step 7: Tell the employer, if it is pending there
Ask the accounts or human resources section to certify it on the employer's portal.
Step 8: Check the profile, then the passbook
After approval, the corrected name shows in the profile and on the passbook. Check PAN and the bank account in the identity section as well.
Why Does Aadhaar Come First?
The whole simplified process rests on one idea: the fund trusts Aadhaar. A member whose record is validated through Aadhaar needs no other paper, because Aadhaar is the paper.
- So the fund's record can only be as right as Aadhaar. Decide the name you will carry, and put Aadhaar right.
- For most working people that name is the one on the class 10 certificate, since employers and recruiters hold everything against it.
- Aadhaar treats a spelling correction, expanding initials and adding or removing a surname as a minor change, as reported. A wholly new name needs a Gazette.
- Then update the fund, PAN and the bank account to the same name. All three are compared when a claim is paid.
See name change in Aadhaar card in Uttarakhand and name change in PAN card.
What Is a Joint Declaration?
It is a request to correct a member's details, made jointly by the member and the employer, and approved by the organisation's office. Before the simplification, every correction went this way.
- It is still the route where the account number is not linked with Aadhaar, where there is no account number, and in the cases the online option does not cover.
- The member fills the form, the employer verifies and signs it, and it goes to the regional office for approval.
- Supporting papers are attached. Guides report that the organisation's procedure sorts changes into minor and major, and asks for more papers for a major one.
- For a name, the papers are identity documents showing the right name. For a wholly changed name, a Gazette notification is among those listed, as guides report.
The better course, where you can, is to link Aadhaar to the account first. Once the account is validated through Aadhaar, the simpler online route opens. Ask your employer's accounts section how to complete the linking.
What If the Employer Has Closed, or Will Not Help?
The employer does not act
- Write to the employer, with the request number from the portal
- Give it a reasonable time, and keep proof
- Raise a grievance on the organisation's grievance portal, naming the establishment
- Visit the regional office with your papers if nothing moves
The establishment has closed
- The organisation has a procedure for members of closed establishments
- Guides report that the declaration can then be attested by one of a list of officials in place of the employer
- Ask the regional office for the current list and form
- Carry every paper from that job: appointment letter, salary slips, the passbook
The organisation has regional offices in the state. The office that covers your establishment is shown on the portal and on your passbook.
What About the Father's Name, Spouse and Nominee?
- Father's or mother's name. It is among the fields a validated member can update. It is not on Aadhaar in a form the fund can match, so type it with care, as on your class 10 certificate.
- Marital status and spouse's name. Update these after marriage. The pension scheme's benefits to a family turn on them.
- The nominee. A nomination is filed separately, online, with the nominee's name, date of birth and Aadhaar. Enter the nominee's name as on the nominee's own Aadhaar.
- After a spouse changes a name, file the nomination again in the new name. An old nomination in a maiden name is a common cause of delay when a family claims.
How Does a Mismatch Affect Claims, Transfers and Pension?
| Transaction | What is compared | What a mismatch does |
|---|---|---|
| Withdrawal or advance | The profile, Aadhaar and the bank account | The claim is rejected or returned |
| Transfer on changing jobs | The member's details under the old and the new employer | The transfer does not go through |
| Merging two account numbers | The names on both | The second account stays stranded |
| Pension at retirement | The profile, Aadhaar, the bank account and the family details | The pension order is delayed |
| A family's claim after a death | The member's record, the death certificate and the nominee's papers | The claim goes to the paper route |
So do not wait for a claim to find a mismatch. Sign in once a year, look at the profile, and put it right while you are in service and the employer is at hand. The hardest corrections are those attempted after the member has left the job, or after the member has died.
For a family's claim, see name correction in a death certificate and legal heir certificate.
How Does the Central Gazette Route Come In?
Only where you have taken a new name. The fund follows Aadhaar, and Aadhaar asks for a Gazette for a major change.
Step 1: Confirm that it is a change, and not a mismatch
A spelling or a surname that differs between the fund and Aadhaar needs no Gazette.
Step 2: Tell your employer first
The employer's own record of your name has its own procedure, and the fund's record should match it.
Step 3: Fix the exact new name
The same spelling you will use on every paper.
Step 4: Make the affidavit, or the deed if you are a Government employee
State the old name, the new name, your father's or husband's name and your address.
Step 5: Publish the newspaper notice
In a daily local leading newspaper. Keep the original newspaper.
Step 6: Type the form and prepare the CD
Two typed copies of the specimen, signed in your old name with two witnesses, the undertaking, the same text on a CD in MS Word, and a certificate that both copies match.
Step 7: Pay the charge on BharatKosh
Commonly Rs 1,100 for an adult. It is not refunded.
Step 8: Send the file yourself, then update in order
Send it to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. With the published Gazette, update Aadhaar, then PAN and the bank, then the employer's record and the fund's profile.
Does the Uttarakhand Gazette Matter Here?
Not to the fund. The question is only which Gazette Aadhaar, PAN and your employer accept. The fund is a central body, and so are those.
Step 1: Ask the Aadhaar centre which Gazette it accepts
The fund will follow Aadhaar.
Step 2: Ask your employer which it accepts
A central or a public sector employer will look for the Gazette of India.
Step 3: Contact the Roorkee press
Take the contact from govtpress.uk.gov.in and ask if a private change of name notice is being accepted.
Step 4: Ask for the papers, the format and the fee, and submit
Keep photocopies of everything.
Step 5: Download the notice
Search gazettes.uk.gov.in and save the PDF.

Which Mistakes Do Members Make?
| Mistake | What to do |
|---|---|
| Finding the mismatch when a claim is rejected | Check the profile once a year |
| Trying to update the fund while Aadhaar is wrong | Correct Aadhaar first |
| Changing Aadhaar to match a wrong fund record | Bring the fund to Aadhaar |
| Paying for a Gazette or an affidavit for a spelling | The fund asks only for a match with Aadhaar |
| Paying an agent to "get it corrected" | Do it yourself on the member portal, free |
| Letting a new employer open a second account number | Give the existing number at joining |
| Leaving a job with the record uncorrected | Correct it while the employer is at hand |
| Updating the name and forgetting the bank and PAN | All three are compared at a claim |
| Leaving an old nomination in a maiden name | File the nomination again |
A typical case we handle: a worker at a factory in Rudrapur had his withdrawal claim returned because the fund's record gave his name with one letter different from his Aadhaar. A cafe told him he needed an affidavit and a Gazette. He did not. His account number had been issued after 2017. He signed in to the member portal, corrected the name to match Aadhaar, and the claim went through on the next attempt. This is an illustrative example of the type of case we handle, not a named client review.
When you do not need us
For a mismatch between the fund's record and Aadhaar, always. The member portal settles it, free, and for some older accounts the employer certifies it. We are useful only where you have taken a new name and Aadhaar needs a Gazette first.

How is a new UAN generated now?
From 1 August 2025, a new Universal Account Number is allotted only through Aadhaar-based face authentication in the UMANG app. The name comes straight from Aadhaar, so put Aadhaar right before you generate the number.
Do I still need my employer to generate a UAN?
No. With face authentication on the UMANG app, an employee can generate and activate the UAN without depending on the employer. Earlier only the employer could raise the request.

In June 2025 the limit for auto-settlement of claims was raised from Rs 1 lakh to Rs 5 lakh. A claim settled without human checking goes through only where the profile, Aadhaar and the bank account agree.
Do I need to upload a cheque leaf for a PF withdrawal?
No. In March 2025 EPFO removed the need to upload a cheque leaf or an attested passbook copy for a partial withdrawal claim. The bank account on record, and its name, is what is checked.
What are the new partial withdrawal categories?
EPFO merged its 13 partial withdrawal provisions into three: essential needs, housing needs and special needs. The name on each claim still has to match Aadhaar.
Does a pensioner need to transfer the PPO when changing banks?
As reported, EPFO pensioners no longer need to transfer the pension payment order when they change banks or move. The name on the new bank account should still match the pension record.

Name Change in EPFO and UAN Records: The Short Version
The provident fund follows Aadhaar. A member whose account number is validated through Aadhaar can update the name on the member portal without a document, and for numbers issued after 1 October 2017 without the employer. Older accounts may need the employer's certification, and accounts not linked with Aadhaar go by a joint declaration on paper.
Correct Aadhaar first, then the fund, PAN and the bank. No Gazette is needed for a spelling. To find out which route fits your account, message us on WhatsApp 9540005064, and we will reply in working hours.
