Name Change in Private Job and Employer Records in Uttarakhand
For people working in private companies, hotels, schools, hospitals and factories: how a corrected or changed name is carried into the employer's records, what happens at a background check in the next job, and why past letters are linked and not rewritten.
A name change in private job and employer records is made by a written request to the employer's personnel office, after PAN and Aadhaar are updated. A spelling needs only those papers. A married name needs the marriage certificate, and a change by choice a Gazette notification. Letters already issued in the old name stay as they are.

A private employer has no rule book for this of the kind a Government office has. A name change in private job and employer records depends on each company's own practice, and on the statutory records that sit behind its payroll. This page explains name change in private job and employer records for employees in Uttarakhand.
We do not deal with employers. We prepare the Gazette notification, where an employee has changed a name by choice. This page is general guidance on common practice, not any company's policy. For Government service, read name change for government employees in Uttarakhand.
Which Records Does an Employer Keep in Your Name?
| Record | Who sees it | What it follows |
|---|---|---|
| The personnel file and the employee master | The employer | What you filled in on joining |
| The offer and appointment letters | You, and later employers | The name you applied in |
| Salary slips and the yearly tax certificate | Banks, the tax department, visa offices | The employee master and PAN |
| The salary bank account | The bank | The bank's own identity record |
| Provident fund and state insurance entries | The statutory bodies | What the employer uploaded, checked against Aadhaar |
| Group medical and accident cover | The insurer and hospitals | The list the employer sends |
| The identity card, email address and business cards | Colleagues and clients | The employee master |
| Experience and relieving letters | Later employers | The employee master on your last day |
One screen in the personnel system, the employee master, feeds nearly all of these. Get that changed and most of the rest follow at the next payroll.
Where Does the Name Come From?
- Your application and resume, in the name you chose to write.
- The offer letter, typed from them.
- The joining forms, where you give PAN, Aadhaar, bank details and certificates.
- The employee master, entered by a clerk from the forms.
- The provident fund and insurance records, uploaded from the master.
The resume is where a preferred name, a dropped surname or an anglicised spelling slips in. The offer letter then carries a name that no certificate has. From the first job onward, write your name on a resume exactly as on PAN.
Which Case Is Yours?
| The situation | Route | Gazette? |
|---|---|---|
| The employer's record misspells you, and PAN is right | A written request, with PAN and Aadhaar | No |
| The record uses a short form or initials | The same | No |
| PAN and Aadhaar differ from each other | Bring them to one name first | Sometimes |
| A woman employee has taken a married surname | A request, with the marriage certificate and updated identity papers | No |
| An employee has changed a name by choice | Gazette, then PAN and Aadhaar, then the request | Yes |
| A background check has flagged a name difference | The linking paper, given to the checking agency through the employer | As the reason requires |
| A past employer's letter is in an older name | The linking paper. The letter is not usually reissued | As the reason requires |
A company can correct its own record on little proof if it wishes. The provident fund and the bank cannot, and they are why the company asks for more.
How Do You Ask Your Employer?
Step 1: Get the paper that records the change
The marriage certificate, or the Gazette notification. For a spelling, none is needed.
Step 2: Update Aadhaar, then PAN
The payroll and the statutory records are checked against them.
Step 3: Update your salary bank account
Before the employer changes its record, or a salary credit may be returned.
Step 4: Ask the personnel office for its procedure
Many have a form, or a ticket in the personnel system.
Step 5: Give a written request with the proof
State the name as recorded and the name as it should read, with the date from which it applies.
Step 6: Ask for the statutory records to be updated too
The provident fund, state insurance where it applies, and the group insurance list.
Step 7: Ask for a letter confirming the change
On the company's letterhead, stating both names and that they are one employee.
Step 8: Check the next salary slip and the next tax certificate
And the provident fund passbook.
What Does a Personnel Office Usually Want?
There is no single rule. This is common practice.
For a correction
- A written request
- PAN and Aadhaar in the right name
- The class 10 certificate, where the two differ
- A cancelled cheque or the bank's letter in the same name
For a change of name
- The marriage certificate, for a married surname
- The Gazette notification, for any other change
- Updated PAN, Aadhaar and bank proof
- Sometimes an affidavit as well, for the file
Larger employers tend to follow what the provident fund will accept, since they have to make the same change there. For a change other than marriage, that usually means a Gazette notification. Read name change in EPFO and UAN records.
Which Records Sit Behind the Payroll?
- The provident fund account is yours for life and moves with you. Its name is corrected jointly by you and the employer, against Aadhaar.
- State insurance, where your wage is within its limit, is corrected through the employer or the branch office.
- Tax deducted from salary is reported against your PAN. The yearly tax certificate prints the name the employer holds. Where it differs from PAN, the certificate looks wrong even though the tax is credited correctly.
- Gratuity and other nominations name your nominee. Renew them if the nominee's name has changed, or yours has.
- Group insurance is corrected by the employer's list to the insurer, not by you.
Ask the personnel office to do these in the same month as its own record. Read name change in ESIC records, name mismatch on the income tax e-filing portal and health insurance policy name correction.
What Happens to Letters Already Issued?
- An offer letter, an appointment letter, old salary slips and past appraisal letters stay in the name they were issued in. They were true on their date.
- An employer will not usually reissue them, and a reissued letter with a new name and an old date invites suspicion at a later check.
- What links them to you is the marriage certificate or the Gazette notification, with the employer's letter confirming the change.
- From the date of the change, new letters carry the new name. Some employers add "formerly known as" once, on the first such letter.
- An experience or relieving letter issued when you leave should carry the name on the record that day. If you changed your name during the job, ask for both names to be mentioned.
Keep one folder: every old letter, the linking paper and the confirming letter. That folder answers most questions in one sitting.
What Happens at a Background Check?
Larger employers have an outside agency verify a new employee's education, past employment, address and identity. The agency compares names across everything it collects.
- Education. The board or university confirms a certificate in the name on its record. Your resume has to give that name.
- Past employment. A former employer confirms the name on its record on your last day.
- Identity and address. PAN and Aadhaar are checked.
- The provident fund history, which shows your past employers under your account.
- Declare every name you have used on the joining form, where it asks. A difference you declared is a detail. One the agency discovers is a discrepancy.
- Hand over the linking paper with your documents on the first day, before anyone asks.
- A check that comes back "unable to verify" for a name difference can be reopened. Ask the personnel office to resubmit with the linking paper.
Read name mismatch at document verification and name change in education documents.
What Can a Former Employer Do?
- A former employer has no duty to rewrite its records for someone who has left. Most will not.
- What you can reasonably ask for is a short letter confirming that the person it employed under one name is the person now known by another, on seeing your linking paper.
- Where your provident fund entry under that employer is in a wrong name, the correction may still need that employer's part. Ask early, before the company closes or its staff change.
- A company that has closed cannot confirm anything. The provident fund record, old salary slips, bank statements showing salary credits and the tax records then prove the employment.
This is the best reason to put a name right while you are still on the rolls.
What Happens After Marriage?
- A woman employee is under no duty to change her name with her employer, or anywhere else.
- Many keep a professional name for work. If PAN, Aadhaar, the bank and the employer all carry it, nothing needs doing.
- Trouble comes from a half-change: Aadhaar updated, and PAN and the employer left as they were. The provident fund then fails its check.
- If she does change, the order is Aadhaar, PAN, the bank, then the employer and its statutory records, on the marriage certificate.
- Her email address and business cards are the employer's choice. Certificates and client records in the earlier name stay.
How Does the Central Gazette Route Work?
Use this where you have changed your name for a reason other than marriage. PAN asks for it, the provident fund asks for it, and the employer follows them.
Step 1: Confirm that it is a change, and not a spelling against PAN
A spelling is corrected on identity papers.
Step 2: Fix the exact new name
The spelling that will go on PAN, the payroll and every future letter.
Step 3: Make the affidavit
State the old name, the new name, your father's or husband's name and your address. Sign before a notary.
Step 4: Publish the newspaper notice
In a daily local leading newspaper. Keep the original newspaper.
Step 5: Type the form and sign the undertaking
Two typed copies of the specimen, signed in your old name with two witnesses, and the undertaking.
Step 6: Prepare the CD, photographs and certificate
The same text on a CD in MS Word, two self-attested photographs with identity proof, and a certificate that both copies match.
Step 7: Pay the charge on BharatKosh
Commonly Rs 1,100 for an adult. It is not refunded.
Step 8: Send the file yourself, then update in order
Send it to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. With the published Gazette, update Aadhaar, PAN and the bank, then give the personnel office the set.
Unlike a Government servant, a private employee needs nobody's permission to change a name. See gazette name change in Uttarakhand.
Would an Employer Accept the Uttarakhand Gazette?
A company may accept either. PAN, the provident fund and a head office in another state are the reasons to prefer the Gazette of India.
Step 1: Ask the personnel office which Gazette it accepts
And what the provident fund will take.
Step 2: Read what the PAN correction form lists as proof
PAN comes first.
Step 3: Contact the Roorkee press
Take the contact from govtpress.uk.gov.in and ask if a private change of name notice is being accepted.
Step 4: Ask for the papers, the format and the fee, and submit
Keep photocopies of everything.
Step 5: Download the notice
Search gazettes.uk.gov.in and save the PDF.

Which Mistakes Do Employees Make?
| Mistake | What to do |
|---|---|
| Writing a preferred name on a resume | Write the name on PAN |
| Asking the employer before PAN and Aadhaar are updated | Identity papers first |
| Changing the employer's record and not the bank account | Bank first, or the salary may bounce |
| Leaving the provident fund in the old name | Ask for it in the same request |
| Asking for old letters to be reissued in the new name | Keep them, with the linking paper |
| Hiding an earlier name at a background check | Declare it and attach the proof |
| Getting a Gazette for a spelling | A spelling is corrected on identity papers |
| Putting it off until after leaving | Do it while on the rolls |
| Taking nothing in writing | Ask for a letter confirming the change |
A typical case we handle: an accounts executive at a hotel group in Mussoorie had dropped an unwanted second name by choice and used the shorter form on his resume. His offer letter and payroll carried it. His PAN and Aadhaar carried the full name, and his provident fund would not pass its identity check. His personnel office asked for a Gazette notification. We prepared a Gazette of India notice. He updated Aadhaar and PAN, and the company then corrected nothing at all, since its record already had the new name. It simply filed the notification and the fund went through. This is an illustrative example of the type of case we handle, not a named client review.

People Also Ask About a Name in Employer Records
How do I change my name in my company's records?
Give the personnel office a written request, with updated PAN and Aadhaar and the proof.
Is a gazette needed to change a name at a private company?
For a change other than marriage or a spelling, usually yes.
Will my old offer letter be reissued in my new name?
Usually not. The linking paper connects it to you.
Will a name change cause a problem in background verification?
Not if you declare both names and give the proof.
Do I have to tell my employer if I change my name after marriage?
Only if you change it on PAN and Aadhaar. The payroll has to match them.
Can a former employer change my name on an experience letter?
It may give a letter confirming both names. It need not rewrite the old one.
Can I correct my name in EPF without my employer?
Yes, if your UAN has been validated through Aadhaar. EPFO lets such members update name, date of birth and other details themselves, without uploading any document.
What if my UAN was issued before 1 October 2017?
Then the correction needs only your employer's certification, without EPFO's approval, as EPFO's January 2025 change describes it.
What if my UAN is not linked to Aadhaar?
The correction has to be submitted physically to the employer, verified, and forwarded to EPFO for approval. Link Aadhaar first to avoid this.
Is there a fee for correcting a name in EPF?
No. EPFO does not charge for corrections in the member profile or the name.
Can I transfer my PF on changing jobs without the old employer?
Yes. Members with Aadhaar-seeded accounts can file transfer claims online with an Aadhaar OTP, without the employer's intervention.
Why did PF name corrections take so long before?
Each request had to be approved by the employer through a joint declaration. EPFO said the change removes a delay of nearly 28 days for the cases members can now self-approve.

A Name in Employer Records: The Short Version
Update Aadhaar, PAN and the salary bank account first. Then give the personnel office a written request with the proof, and ask for the provident fund, state insurance and group cover to be updated in the same month. A spelling needs identity papers, a married name the marriage certificate, and a change by choice a Gazette notification. Old letters stay as issued, linked by that paper.
Ask for a letter confirming the change, and do it while you are on the rolls. To find out if your case needs a Gazette, message us on WhatsApp 9540005064, and we will reply in working hours.
