Short Name and Full Name Difference in Documents in Uttarakhand

When one paper says "H. C. Joshi" and another says "Harish Chandra Joshi": what it is, which form to keep, where each record is expanded, and when a Gazette is needed.

Quick answer

A short name and full name difference, such as H. C. Joshi on one paper and Harish Chandra Joshi on another, is usually not a change of name. The words are the same, and one record has shortened them. The office that holds the short form can expand it with a supporting document. A Gazette is rarely needed.

Initials and short forms such as H. C. Joshi stand for the full name, so expanding them is a correction of that record, not a change of name.

A short name and full name difference is the quiet cause of many failed bank verifications and delayed passports in Uttarakhand. Initials sit on one paper and the full words on another. This page explains the short name and full name difference: what counts as one, which form to keep, where each record is expanded, and when a Gazette is needed.

Most readers of this page need no Gazette, and so need nothing from us. For the office that corrects each record, read name spelling correction in Uttarakhand.

What Is a Short Name and Full Name Difference?

It is when two of your papers carry the same name, written out in full on one and shortened on the other. No word is misspelt. One record has simply used fewer letters.

Examples of a short name and full name difference
Full form on one paperShort form on anotherWhat was shortened
Harish Chandra JoshiH. C. JoshiThe first and middle names, to initials
Harish Chandra JoshiHarish Ch. JoshiThe middle name, to a short form
Harish Chandra JoshiHarish JoshiThe middle name, left out
Rakesh Kumar NegiRakesh Kr. NegiKumar, written as Kr.
Mohan Singh BishtMohan S. BishtSingh, written as an initial
Bhagwati Prasad PantB. P. PantTwo names, to initials

It starts innocently. A school register had a narrow column. A clerk wrote "Kr." to save time. A form had too few boxes for the whole name. Years later, a bank's computer compares the two papers letter by letter and finds they do not match.

The names above are only examples of form.

Which Kinds of Short Form Are There?

They are not all treated alike. Find the kind you have.

Kinds of short form in a name and how each is usually treated
KindExampleUsually treated as
Initials for full wordsH. C. Joshi for Harish Chandra JoshiA short form. Expanded by the office concerned
An abbreviation of one wordKr. for Kumar, Pd. for Prasad, Ch. for ChandraA short form. Expanded by the office concerned
A middle name left outHarish Joshi for Harish Chandra JoshiA grey case. A word is missing, not shortened
A surname left outRakesh Kumar for Rakesh Kumar NegiMore than a short form. See the note below
A title put in the name boxDr. Harish Joshi, Smt. Sunita RawatA title is not part of the name
A name cut off by a formHarish Chandra JosA clerical error. Corrected by the office
A home name or pet nameRaju for RajeshNot a short form. A different name

Two rows need a word more. Where the surname is on some papers and not on others, read adding a surname when records show only a first name. Where a home name such as Raju is on a real record, it is a second name, and the fix is a notice with an alias. See alias name in a gazette notification.

Is a Short Form a Change of Name?

Usually not. A change of name gives you a name you did not have before. Here you have one name, and one record has shortened it. Writing it out in full is a correction of that record.

  • Initials and abbreviations stand for words that are already on your other papers.
  • The Aadhaar rules allow certain name updates with a supporting document and no Gazette. Adding or editing initials is among them.
  • Many offices will expand a short form on their own form, with a paper that shows the full name.
  • Where an office will not change its record, it may accept a sworn statement that both forms are one person.
A simple test. Write the full form and the short form one under the other. If every letter of the short form stands for a word in the full form, in the same order, you have a short form and nothing more. If a word is in one and nowhere in the other, read the section on a missing middle name.

It does become a change of name if you want to drop a word for good, or add one that is on none of your papers. Then the name itself is changing, and not just the way it is written.

Which Form Should You Keep?

The full form, written out, wherever you have the choice. A full name can always be matched to a short one by a person reading it. A short one cannot be matched to a full one by a computer.

  1. Look at your class 10 certificate. It is the base record for most adults. If it has the full form, that is your name.
  2. Look at your passport, if you hold one. It usually carries names in full.
  3. Take the fullest form that is on a trusted record as the one to keep.
  4. Bring the short records up to it, one office at a time.

One caution. If your class 10 certificate itself carries the short form, such as "H. C. Joshi", think before you expand every other record. That short form is your base. Ask the board, through your school, if it will certify the full form, or keep the short form as it is on that certificate and support it with an affidavit where needed.

From today, never write an initial or a short form on any official paper. Write every word in full, in the same order, every time. Most of these differences are made by the person filling the form.

How Does Each Record Treat Short Forms?

This is the usual position. Each office keeps its own instructions and can change them, so check the current form before you fill it.

How common records treat initials, short forms and titles in a name
RecordWhat it usually wantsTo expand a short form
AadhaarThe name in full, with no title before itA name update with a supporting document. Only two name updates are allowed in a lifetime
PANThe name in full, in separate parts, with no title. The form has a separate line for how the name is printed on the cardThe PAN correction application
PassportGiven name and surname in fullA re-issue, with the papers on the Passport Seva list
Voter IDAs entered by the election officeForm 8
Bank accountThe name as on the identity papers givenThe branch's request form, with Aadhaar and PAN in the full form
School and board certificatesThe name as the school sent itThe board's own form, through the school, within its time limit
Provident fund and service recordsThe name as the employer entered itThe employer's or the fund's own correction form
Driving licenceAs entered by the transport officeA correction through the Parivahan service

Aadhaar and PAN matter most, because the bank, the tax system and most other offices check against them. If those two carry the same full form, letter for letter, most of the trouble goes away.

How Do You Expand a Short Name in a Record?

Step 1: List every form of your name

Go through all your papers and write down exactly how each one has your name.

Step 2: Confirm it is only a short form

Check that each initial or short form stands for a word that is on a trusted record of yours.

Step 3: Fix the full form

Every word, its spelling and its order. Write it on a slip.

Step 4: Expand Aadhaar first, if it has the short form

At an Aadhaar Seva Kendra, with a supporting document that shows the full form. Read the form before the operator submits it.

Step 5: Bring PAN in line

Through the correction application, so that Aadhaar and PAN match.

Step 6: Expand the other records

The bank, the voter ID, the licence and the employer's record, each on its own form.

Step 7: Support the ones that cannot be changed

For an old certificate or passbook that will stay in the short form, keep a correction affidavit that names both forms.

For the affidavit, see name spelling correction affidavit. It is asked for by banks and employers more often than by Aadhaar or PAN.

Why Are Titles Not Part of a Name?

A good share of "short and full name" problems are not about the name at all. A title was typed into the name box, and it now looks like part of the name.

Titles that are sometimes typed into a name field
What was typedThe titleThe name
Shri Harish Chandra JoshiShriHarish Chandra Joshi
Smt. Sunita RawatSmt.Sunita Rawat
Km. Sunita RawatKm., for Kumari, used as a titleSunita Rawat
Dr. Rakesh NegiDr.Rakesh Negi
Late Mohan Singh BishtLateMohan Singh Bisht
  • Leave titles out of every name box. Forms for identity papers ask for the name without them.
  • A degree or a profession does not change your name. "Dr." or "Adv." before a name is a form of address.
  • Where a record has a title joined to the name, ask that office to remove it. It is a clerical correction.

One word needs care. "Km." before a name is a title. "Kumari" after a name, as in Sunita Kumari, is part of the recorded name. They are not the same thing on paper. See changing Kumari or Devi to a husband's surname.

What If a Middle Name Is Missing From One Paper?

This is harder than initials. "Harish Joshi" does not shorten "Harish Chandra Joshi". It leaves a word out. Some offices read the two as the same person with no fuss. Others treat them as a mismatch.

It is usually settled simply when

  • Only one record lacks the middle name
  • Your class 10 certificate has the full form
  • The father's name, date of birth and address match on both papers
  • The office will add the word on a supporting document

It needs more thought when

  • Half your papers have the middle name and half do not
  • The base record itself lacks it
  • A passport or a visa depends on an exact match
  • An office has refused in writing to treat the two as one

In the first set, ask the office that lacks the word to add it. In the second, decide which form you will keep for life. If you settle on the form with the middle name and several records lack it, a change of name notice with an alias ties the two forms together in one publication.

Names in the hills often carry a middle word such as Chandra, Dutt, Ballabh, Prasad, Singh or Lal. It is part of the name. Do not let a form drop it because the box was short.

What If a Parent's Name Is in Short on Your Papers?

Your father's or mother's name appears on your certificates, your passport and many forms. It is shortened as often as your own.

  • A marksheet that says "S/o H. C. Joshi", where your father's papers say Harish Chandra Joshi, is a short form in your record.
  • The record is yours, so you apply to correct it, with your parent's identity proof as support.
  • For a board certificate, the board's correction rules and time limits apply.
  • Where a board wants Gazette proof, the notice is a public notice stating how the parent's name was written and what it actually is.

When you fill any form for yourself or your child, write the parent's name in full, as on that parent's own Aadhaar. A short form written today is a correction someone will need in twenty years.

When Does a Short and Full Name Difference Need a Gazette?

🏛️

An office refuses in writing

It will not expand its record or accept the two forms as one person without a Gazette notification.

🔄

Papers are split between two forms

Several records carry each form, and correcting them one by one is not working.

📝

A word is missing, not shortened

A middle name or a surname is on some papers and absent from others.

🌎

A passport or visa is involved

A foreign office wants one public proof that both forms are you.

📄

A certificate cannot be changed

A board's time limit has passed, and you need a paper that links the old certificate to your full name.

✍️

You are dropping or adding a word

You want a form that is on none of your papers. That is a change of name.

Where a Gazette is used, the notice states the forms in use as your old name, joined by "alias", and the one form you will use from now on. Each alias adds Rs 250 to the charge. Because the old and new forms hold the same words, send your draft to the Department of Publication and ask if it will be printed that way before you pay.

How Does the Central Gazette Route Work?

Use this only where the offices have not been able to settle the matter. The notice goes in Part IV of the Gazette of India.

Step 1: Confirm that a Gazette is needed

Get the refusing office to say so in writing, or check your case against the list above.

Step 2: Draft the notice and ask the Department

Write the forms in use, joined by alias, and the full form you will keep. Ask if it will be printed as drafted, and the charge.

Step 3: Make the affidavit

State every form in use and the one you will use from now on. Sign before a notary.

Step 4: Publish the newspaper notice

In a daily local leading newspaper, in the same wording. Keep the original newspaper.

Step 5: Type the form and sign the undertaking

Two typed copies of the specimen, signed in your old name with two witnesses, and the undertaking.

Step 6: Prepare the CD, photographs and certificate

The same text on a CD in MS Word, two self-attested photographs with identity proof, and a certificate that both copies match.

Step 7: Pay the charge on BharatKosh

Commonly Rs 1,100 for an adult, with Rs 250 more for each alias. It is not refunded.

Step 8: Send the file yourself, then download the Gazette

Send it, with a request letter, to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. Then check Part IV on egazette.gov.in each week.

The full route is on our gazette name change in Uttarakhand page.

Can the Uttarakhand Gazette Be Used?

The Government Press at Roorkee sets its own practice. Cases that reach the Gazette stage usually involve a passport, a bank or an office outside the state, and for those the Gazette of India is the right one.

Step 1: Ask which office wants the Gazette

If it is the passport office, a central body or an office outside the state, use the Gazette of India.

Step 2: Contact the Roorkee press

Take the contact from govtpress.uk.gov.in and ask if a private notice of this kind is being accepted.

Step 3: Send your draft

Ask if the wording is acceptable, in which language it is printed, and the fee.

Step 4: Publish the notice and submit the file

Keep photocopies of everything.

Step 5: Download the notice

Search gazettes.uk.gov.in and save the PDF.

To weigh the two, read Uttarakhand Gazette vs Gazette of India.

Which Mistakes Do People Make?

Common mistakes with a short name and full name difference
MistakeWhat to do
Paying for a "name change" to expand initialsAsk the office to expand its record
Writing initials on a new form out of habitWrite every word in full, every time
Typing Shri, Smt. or Dr. in the name boxLeave titles out
Shortening the full records to match the short oneBring the short records up to the full form
Expanding an initial to a word that is on no recordExpand only to what your papers show
Treating a missing middle name as a small matter before a passportSettle it first
Correcting the bank before Aadhaar and PANAadhaar, then PAN, then the bank
Using an Aadhaar name update without reading the formOnly two are allowed in a lifetime
Writing a parent's name in short on a child's formCopy it in full from the parent's Aadhaar

A typical case we handle: a retired teacher in Almora had "B. P. Pant" in his service book and pension papers, and "Bhagwati Prasad Pant" on his Aadhaar and PAN. His pension account failed a verification, and he was told to change his name. Nothing needed changing. His class 10 certificate had the full form. The bank took a correction affidavit naming both forms with a copy of that certificate, and updated the account. This is an illustrative example of the type of case we handle, not a named client review.

When you do not need us

For initials or a short form that an older paper spells out, you need only the office that holds the short record. We are useful where an office has refused in writing, where a word is missing across several papers, or where a passport depends on it. Send us the papers and we will tell you which, free.

People Also Ask About Short and Full Names

Is a name with initials the same as the full name?

It is the same person and the same name, but records match letter by letter, so the two forms can fail a check.

Do I need a gazette to expand initials in my name?

Usually not. The office that holds the record can expand it with a supporting document.

Can I expand my initials in Aadhaar?

Yes, with a supporting document. Adding or editing initials is among the updates that need no Gazette.

My middle name is missing on one document. Is that a problem?

It can be, before a passport or a bank verification. Ask the office that lacks it to add the word.

Should I write Dr. or Smt. in the name field?

No. A title is not part of the name. Leave it out of every name box.

Which is better on documents, initials or the full name?

The full name, written out, on every paper.

Are initials allowed in an Indian passport?

No. The passport form asks for the given name as the first name followed by the middle name, and says initials are not allowed. The application should give the expanded name.

Can my father's initials be expanded in my passport?

Yes. An Indian mission's guidance says initials in a parent's name may be expanded into the full name, subject to proof.

Can a newborn's birth certificate have initials for a passport?

No, according to one Indian mission's guidance. Initials are not allowed in the birth certificate, and if there are any, it has to be changed to the full name before the passport.

Is adding a surname to my passport a change of name?

Yes. An Indian mission's guidance says adding a surname to the given name is treated as a change of name.

Can I split my name into given name and surname at re-issue?

Yes, by applying for re-issue. No word or spelling may be added or dropped while splitting. If it is, the change of name procedure applies.

Why do embassies want a surname in my passport?

Many countries insist on a surname for a visa. An empty surname field can force a re-issue later.
