Name Mismatch in Document Verification in Uttarakhand
When a selected candidate's papers do not carry one name: what the verifying officer compares, which paper answers each kind of difference, and how to put a file in order before the date.
A name mismatch in document verification is answered with a paper, not an explanation. The officer compares every certificate with the class 10 certificate and the application. A spelling is met by a corrected paper or an affidavit, a married name by the marriage certificate, and a changed name by the Gazette notification, in original.

A name mismatch in document verification is found at the worst point in a recruitment: after the written test is cleared, with a date fixed and a few days' notice. This page explains name mismatch in document verification for candidates in Uttarakhand, for state and central posts alike, and how to prepare a file that raises no question.
We do not appear at verifications. We prepare the Gazette notification, which recruiters name as a paper for a candidate whose name has changed. For the exam day itself, read admit card and hall ticket name mismatch.
What Is Document Verification?
After the written test, and sometimes an interview, a recruiting body calls the shortlisted candidates with their original papers. An officer checks that each claim in the application is supported: identity, age, qualification, category, residence, and anything else the post needs.
- It is held on a fixed date, at a fixed place, with a list of papers in the call letter.
- Originals are seen, and attested copies are kept.
- A candidate who cannot support a claim may be rejected, or given a short time to produce the paper.
- Passing it is not the end. Police verification and the medical test usually follow, and the papers are looked at again at joining.
The officer is not judging the candidate. The officer is checking that one person stands behind every paper in the file. A name that changes from page to page is the first thing that breaks that picture.
What Is Compared?
| Paper | What is read on it |
|---|---|
| Class 10 certificate | The name, both parents' names and the date of birth. Every other paper is held against this |
| The application and admit card | The name you applied in |
| Class 12, degree and other qualifications | The name and the father's name |
| Photo identity proof | The name and the photograph |
| Caste, tribe or backward class certificate | The name, the father's name and the date of issue |
| Residence certificate | The name and the father's or husband's name |
| Other claims | Disability, ex-serviceman, sports, experience and no-objection certificates, each in the candidate's name |
The father's name is read almost as closely as the candidate's. A file in which the candidate's name is perfect, and the father's name is spelt three ways, is still a file with a mismatch.
Which Paper Answers Each Kind of Difference?
| The difference | Example | The paper that answers it |
|---|---|---|
| A spelling in one certificate | Bist on a degree, Bisht elsewhere | A corrected certificate. Failing that, an affidavit that both are one person |
| A surname present on some papers and absent on others | Rajesh Kumar and Rajesh Kumar Rawat | Identity papers brought to the class 10 form, and an affidavit. A Gazette notice stating both, if asked |
| A married name on identity papers | Certificates in the maiden name | The marriage certificate, in original |
| A name changed by choice | Rakesh Kumar, now Aarav Negi | The Gazette notification, in original |
| The father's name differs between papers | Trilok Singh and T. S. Rawat | The father's own identity proof, and an affidavit. His Gazette, if he changed his name |
| A home name on a caste or residence certificate | Guddu on an old certificate | A fresh certificate in the class 10 name |
| The date of birth differs | Two dates on two papers | The class 10 certificate decides. A Gazette does not change a date of birth |
Notice how seldom the answer is a Gazette. For most differences, it is a corrected paper from the office that issued the wrong one. The Gazette belongs to the fourth row, and sometimes the second.
What Do Recruiters Say About a Changed Name?
Each recruiting body sets its own rule in its notification and call letter. The instructions for bank recruitment are among the clearest, and show the pattern.
- The candidate's name on the call letter should exactly match the name on the photo identity proof.
- A candidate who has changed a name has to produce the original Gazette notification, the original marriage certificate, or an affidavit in original.
- Where the identity of a candidate is in doubt, the candidate may not be allowed to submit documents.
Other bodies ask for more or less. Some list a Gazette notification alone for a change of name, and a marriage certificate for a woman's surname. Some ask for newspaper cuttings as well. Read the notification you applied under and the call letter you received, and prepare to that list.
Which Case Is Yours?
| Where you are | What to do | Gazette? |
|---|---|---|
| Result awaited, months in hand | Correct the odd certificates at their own offices. This is the time for it | Only for a changed name |
| Shortlisted, verification in a few weeks | Fresh tehsil certificates, an Aadhaar update, affidavits. Start a Gazette today if one is needed | If it can come in time |
| Call letter received, a few days left | Affidavits and the papers you can get in a day. Write to the recruiter about anything pending | No time |
| At the verification, a difference is pointed out | Give the linking paper. If you have none, ask for time in writing | If time is given |
| Given time to produce a paper | Get exactly the paper named, and submit it with a covering letter before the date | As the order says |
| Rejected on a name mismatch | Ask for the order in writing and take a lawyer's advice at once | Ask the lawyer |
The first row is the only comfortable one. If you have sat a recruitment exam and are waiting for the result, check your file this week.
How Do You Prepare Your File?
Step 1: Lay every paper on a table
Every certificate, identity proof and claim paper you will be asked for.
Step 2: Write the names in three columns
For each paper: your name, your father's name, your date of birth, exactly as printed.
Step 3: Mark every entry that differs from the class 10 certificate
By a letter, a space, a word or an initial.
Step 4: Read the notification's paragraph on names
Note which paper this recruiter accepts for each kind of difference.
Step 5: Correct what can be corrected at its own office
Aadhaar at a centre. A caste or residence certificate at the tehsil. A degree at the university, if there is time.
Step 6: Get a linking paper for what cannot
The marriage certificate, an affidavit, or the Gazette notification, in original.
Step 7: Arrange the file in the order of the call letter
Each certificate followed at once by the paper that links it. Originals in one folder, attested copies in another.
Step 8: Write a one-page note of the differences
List each difference and the paper that answers it. Hand it over with the file. An officer who is shown the gaps and the answers together rarely has a question left.
What Happens on the Day?
- Reach early, with originals, attested copies, photographs and the call letter.
- Point out the differences yourself, before the officer finds them. It shows there is nothing hidden.
- Give the linking paper with the certificate it explains, not in a bundle at the end.
- If the officer asks for a paper you do not have, ask what exactly is wanted and by when, and ask for it to be noted.
- Sign nothing you have not read. An undertaking that you will produce a paper by a date binds you to that date.
- Keep a copy of everything you hand in, and of anything you sign.
What If You Are Given Time?
Recruiters often allow a candidate a short period to make good a deficiency, and mark the case provisional meanwhile.
- Get the direction in writing, or note the officer's name, the paper asked for and the last date.
- Produce exactly the paper named. A different paper that you think is as good may not be accepted.
- Where the paper is a Gazette notification, say at once if it cannot come within the time, and ask for the date to be extended in writing. A Gazette commonly takes 3 to 7 weeks.
- Submit before the date, with a covering letter, by a method that gives proof of delivery.
- Where the time given is plainly too short for the paper named, take a lawyer's advice quickly.
What Is Different for State Posts?
Posts under the state are filled through the state's public service commission and its subordinate services selection commission, and through departmental boards.
- The permanent residence certificate is central to most state posts. Its name and the father's name should match the class 10 certificate.
- Category certificates issued in the state are checked against the issuing office's record. An old handwritten one in a home name is a common problem.
- Certificates in a woman's maiden name stay valid. The marriage certificate links them to her present identity proof.
- Certificates issued before the state was formed on 9 November 2000 raise their own questions. Ask the tehsil in good time how they are treated.
We could not confirm the wording either commission uses on a change of name. Read the notification for your own post. See name change in residence certificate and name change in caste certificate.
Which Stages Follow?
- The attestation form. It asks if you have ever been known by another name. Answer truthfully, and attach the linking paper.
- Police verification. The police check the name on the form against local records.
- The medical test. The identity proof is checked again.
- Joining. The originals are seen once more, and the service record is opened in the name on the class 10 certificate, or the changed name with its proof.
So a linking paper is not shown once and put away. Keep the original for the whole of your service. See name mismatch in police verification.
When Is a Gazette the Answer?
A changed name
You applied, or hold identity papers, in a name different from your certificates. The Gazette is the record of the change.
Two forms in long use
A surname on half your papers and not the other half. A notice stating both, joined by alias, ties them together.
The recruiter asks for one
The notification or the officer names a Gazette notification as the paper wanted.
A Gazette is not the answer to a wrong certificate that can be corrected, to a wrong date of birth, or to a difference in caste or category. And it has to be published before the last date, not applied for.
How Does the Central Gazette Route Work?
The Gazette of India is accepted by central and state recruiters alike. The notice goes in Part IV.
Step 1: Read what the recruiter asks for
A Gazette notification alone, or with newspaper cuttings and an affidavit.
Step 2: Count the weeks to your date
It commonly takes 3 to 7 weeks. Start the day you see the need.
Step 3: Fix the exact name, and list the other form as printed on your papers
Keep the name on the class 10 certificate as the main name where you can.
Step 4: Make the affidavit, with a spare original
State the old name, the new name, your father's or husband's name and your address. Sign before a notary.
Step 5: Publish the newspaper notice, and keep spare copies
In a daily local leading newspaper. Recruiters sometimes ask for the cutting.
Step 6: Type the form and prepare the CD
Two typed copies of the specimen, signed in your old name with two witnesses, the undertaking, the same text on a CD in MS Word, and a certificate that both copies match.
Step 7: Pay the charge on BharatKosh
Commonly Rs 1,100 for an adult, with Rs 250 more for each alias. It is not refunded.
Step 8: Send the file yourself, then print the Gazette for your folder
Send it to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. Print clear copies of the published notification and place one behind each certificate it explains.
Would the Uttarakhand Gazette Do?
For a post under the state, a state notice may serve. For a central post, or if you are applying to both, choose the Gazette of India.
Step 1: Read the notification, or ask the recruiter, which Gazette is accepted
In writing where you can.
Step 2: Think about every recruitment you are in
The Gazette of India serves them all.
Step 3: Contact the Roorkee press
Take the contact from govtpress.uk.gov.in and ask if a private change of name notice is being accepted, and how long it takes.
Step 4: Ask for the papers, the format and the fee, and submit
Keep photocopies of everything.
Step 5: Download the notice
Search gazettes.uk.gov.in and save the PDF.

Which Mistakes Do Candidates Make?
| Mistake | What to do |
|---|---|
| Opening the file for the first time after the call letter | Check it while the result is awaited |
| Checking your own name and not your father's | Compare both, on every paper |
| Hoping the officer will not notice | Point out each difference and give its paper |
| Carrying photocopies of linking papers | Carry originals, and copies to leave |
| Starting a Gazette a week before the date | Start when you see the need, and use an affidavit meanwhile |
| Expecting a Gazette to cure a wrong date of birth or category | It is about the name alone |
| Using an old caste certificate in a home name | Get a fresh one in the class 10 name |
| Changing Aadhaar after applying | Keep to the name you applied in, with a linking paper |
| Hiding or altering a paper | Never. It is worse than any mismatch |
A typical case we handle: a candidate from Tehri, shortlisted for a state post, found six weeks before verification that his degree and class 12 certificate gave his surname and his class 10 certificate did not. He started a Gazette notice stating both forms the same day, made an affidavit to carry meanwhile, and wrote a one-page note for the officer. The Gazette was published a week before the date. He handed over the note, the affidavit and the notification with his file, and was cleared. This is an illustrative example of the type of case we handle, not a named client review.
What is a lawyer's job, not ours
A rejection at verification, a time limit that cannot be met, and any dispute with a recruiter over what its notification requires.
When you do not need us
For a wrong certificate, the office that issued it. For a married name, the marriage certificate. For a small spelling, an affidavit from a notary. We are useful where you have changed your name, or use two forms of it, and the recruiter wants a Gazette notification.
Which Areas of Uttarakhand Do We Cover?
All 13 districts: Dehradun, Haridwar, Pauri Garhwal, Tehri Garhwal, Rudraprayag, Chamoli, Uttarkashi, Nainital, Udham Singh Nagar, Almora, Bageshwar, Champawat and Pithoragarh. Wherever your verification is held, the file is prepared at home. The Gazette file, where one is needed, is prepared on WhatsApp.
People Also Ask About Document Verification Name Mismatch

The class 10 certificate. Every other paper is held against it.
Is an affidavit enough for a spelling mismatch?
Often, for a small difference. Read the notification, since some recruiters want more.
What proof is needed if my name changed after marriage?
The marriage certificate, in original.
Is a gazette notification required for document verification?

It is a mismatch too. Carry his identity proof and an affidavit.
Why can't I pull my certificate into DigiLocker?
Usually a name mismatch. DigiLocker matches the name on the document with the name on Aadhaar, so that only the owner can fetch it, and a mismatch blocks the document.
How do I fix a DigiLocker name mismatch before verification?
Update either Aadhaar or the name on the document so that the two match, as DigiLocker's own answers say. For recruitment, bring Aadhaar to the class 10 name.
Is it compulsory to upload documents to DigiLocker?
No. DigiLocker's answers say it is not mandatory to upload documents to it directly. Read the call letter for whether a recruiter wants a DigiLocker copy or the original.
How should I write my name in an SSC application?
As reported from the current SSC CGL notice, the candidate's name, date of birth, father's name and mother's name are to be written strictly as given in the matriculation certificate.
Who conducts document verification for SSC posts?
As reported from the current SSC CGL notice, the user departments or organisations conduct document verification after the final result. Your file is checked by the department you are allotted to.
I applied with my ID card name, which differs from my 10th certificate. What now?
Correct your identity papers to match the class 10 certificate, or complete a Gazette change of name if you mean to keep the other name, before document verification. Carry an affidavit meanwhile.

Name Mismatch in Document Verification: The Short Version
At document verification every paper is held against the class 10 certificate, for your name and your father's. Each difference needs a paper: a corrected certificate, an affidavit, a marriage certificate, or the Gazette notification for a changed name. Read the notification for what your recruiter accepts, and carry originals.
Check your file while the result is awaited, not after the call letter. A Gazette takes weeks. To have your file checked before the date, send photos on WhatsApp 9540005064, and we will reply in working hours.
