Share Certificate Name Change and Correction in Uttarakhand

For holders of old paper share certificates whose name on the certificate does not match PAN and Aadhaar: what the market regulator's norms ask for a small mismatch and for a changed name, the forms, and what comes back.

Quick answer

A share certificate name change and correction is requested from the company's registrar and transfer agent. Under the market regulator's norms, a minor mismatch needs one more document explaining it. A changed name needs a marriage certificate, or publication of the change in the official Gazette, with a document showing the old name.

Under the market regulator norms, a minor mismatch on a share certificate needs one explaining document, while a changed name needs publication in the official Gazette with a document showing the old name.

Some families in the state still hold paper share certificates bought decades ago, in a name written by hand at a broker's desk. A share certificate name change and correction becomes necessary the day someone tries to sell, since shares can be sold only from a demat account, and the account is in the name on PAN. This page explains share certificate name change and correction for holders in Uttarakhand.

We do not deal with companies or registrars. We prepare the Gazette publication, which the regulator's norms name for a change of name. For the bank account the shares' money goes to, read name change in bank records in Uttarakhand.

What Are Paper Shares, the Registrar and Demat?

  • A paper share certificate records a holder's name, a folio number and the shares' distinctive numbers. The company's register of members carries the same name.
  • The registrar and transfer agent keeps that register for the company. Every request about a paper certificate goes to it. Its name and address are on the company's website.
  • A demat account holds shares electronically, with a depository participant such as a bank or a broker. It is opened on PAN, in the name on PAN.
  • Selling. Listed shares are sold only from a demat account. A paper certificate has to be converted first.

The conversion is where a name bites. The registrar compares the name in its register with the name on the demat account. If they differ, it will not convert. So the name on the folio has to be brought to the name on PAN first.

What Do the Regulator's Norms Say?

The Securities and Exchange Board of India has laid down common and simplified norms for how registrars process investors' requests. A change in the name of the holder is one of the requests listed. These points are as registrars and professional sources reproduce the norms.

The market regulator's norms on a name mismatch and a change of name for physical securities, as reproduced
SituationWhat is asked for
Minor mismatch in name between two sets of documentsOne more document, from a list, explaining the difference
Change of name on marriageThe marriage certificate, or a valid passport showing the husband's name, or publication of the change in the official Gazette, and a document evidencing the old name
Change of name for any other reason, or a major mismatchPublication of the change in the official Gazette, and a document evidencing the old name
The request formForm ISR-1, with PAN and identity details
What is issuedA letter of confirmation in place of a fresh certificate, within 30 days of the request
Every holder of paper sharesHas to give the registrar PAN, identity details and a nomination, or a signed choice not to nominate

So this is another record where the Gazette is named in the rule itself. For a change of name that is not on marriage, it is the one paper listed.

The norms have been revised more than once. Take the current forms from the registrar's own website, which carries the version in force.

What Counts as a Minor Mismatch?

The norms treat a small difference between two of the holder's own documents as a minor mismatch, to be explained by one more document.

Usually treated as minor

  • A letter or two in the spelling
  • Initials on the certificate, the full name on PAN
  • The order of the first name and the surname
  • A middle name present on one and absent on the other

Documents registrars list to explain it

  • The passport
  • Aadhaar or PAN
  • The marriage certificate
  • A school or birth certificate
  • A bank passbook or statement with the name

The exact list is on the registrar's form. Which side of the line a difference falls on is for the registrar to judge. A whole word that is different, such as a different surname or a pet name in place of the first name, is likely to be treated as major.

Write to the registrar with copies of the certificate and your PAN, and ask how it classifies the difference, before you spend on anything.

What Is Asked for a Changed Name or a Major Mismatch?

  1. On marriage. Any one of three: the marriage certificate, a valid passport showing the husband's name, or publication of the change in the official Gazette.
  2. For any other reason. Publication of the change in the official Gazette.
  3. In both cases, a document evidencing the old name, from the registrar's list. For an old holding, that may be an old passport, an old bank passbook or a school certificate.
  4. With them, Form ISR-1 with PAN and identity details, the original certificates, and the signature confirmation where the signature has changed.

The third item is the one people stumble on. A holder who bought shares forty years ago as "R. S. Rawat" and has no paper left in that form has to find one. Old ration cards, an old savings passbook, a service record or a pension order can serve. Ask the registrar which it accepts.

A Gazette notice that states both forms of the name, joined by alias, is how the old form and the present form are tied together in one public paper. See alias name in a gazette notification.

The third row needs no Gazette where the marriage certificate is at hand. Where it is not, and the marriage was decades ago, the Gazette is the alternative the norms offer.

How Do You Apply to the Registrar?

Step 1: Find the company's present name and its registrar

From the company's website or the stock exchange's. Old companies have merged or been renamed.

Step 2: Write to the registrar with the folio number

Ask it to confirm the holding, the name on its register, and how it classifies your difference.

Step 3: Open a demat account in your PAN name, if you have none

The shares will be credited there. Take its client master list.

Step 4: Collect the proof

For a minor mismatch, one explaining document. For a change, the marriage certificate or the Gazette publication, with a document showing the old name.

Step 5: Fill the registrar's forms

Form ISR-1, the service request form, the nomination form and, where your signature has changed, the banker's confirmation of signature.

Step 6: Send them with the original certificates

By registered post or courier, with self-attested copies of PAN and Aadhaar and a cancelled cheque. Keep photocopies of everything, including the certificates.

Step 7: Answer any query quickly

The registrar writes back where a paper is missing. Reply in writing, quoting its reference.

Step 8: Receive the letter of confirmation, and act on it

Give it to your depository participant with a demat request, within the time the letter states.

Which Forms Are Used?

Forms used for a request to a registrar about physical shares
FormWhat it is for
Form ISR-1Registering or updating PAN, identity details, bank details and contact details
Form ISR-2Confirmation of the holder's signature by the banker
Form ISR-3A declaration opting out of nomination
The nomination formNaming a nominee for the folio
The service request formThe request itself, such as a change in the holder's name or a duplicate certificate. Registrars' sites label it Form ISR-4
  • Fill them in the present name, as on PAN, and state the name as on the certificate where the form asks.
  • All joint holders sign. Where one has died, that is dealt with first.
  • A folio with no PAN and identity details on record is restricted until they are given. Do that with the same set of forms.

Download the forms from the registrar handling your company. The format is common, but each carries its own address and instructions.

What Comes Back, and What Is the Next Step?

You do not get a new paper certificate in the corrected name. Under the norms, the registrar issues a letter of confirmation in its place.

  1. The letter of confirmation states the holder's name as corrected, the folio and the number of shares.
  2. You give it to your depository participant with a demat request form, so the shares are credited to your demat account.
  3. The letter is valid for a limited period, stated on it. Guides give this as 120 days. Do not let it lapse.
  4. If it lapses, the shares are moved, as guides describe, to a suspense account held by the company, and have to be claimed from there.
  5. Once credited, check the demat statement, and update the bank account for dividends.

So open the demat account before you apply, in exactly the name on PAN. The name on the letter, the demat account and PAN have to be the same for the credit to go through.

What About Shares Already in a Demat Account, and Mutual Funds?

  • A demat account. The request goes to your depository participant. The regulator's rule for a holder's change of name, as reported, mirrors the one for paper shares: on marriage, the marriage certificate, a passport showing the husband's name or the Gazette. For other reasons, the Gazette.
  • The order of work. PAN first, then the bank account linked to the demat account, then the demat account itself.
  • Mutual fund folios. The request goes to the fund house or its registrar, on its own form, with PAN in the new name and the proof of change.
  • The central record of investor identity is updated through any one intermediary and is meant to reach the others. Check each holding afterwards.

See name change in PAN card in Uttarakhand.

What If the Holder Has Died?

Then nothing on the certificate is corrected. The shares are transmitted to the nominee, the surviving joint holder or the legal heirs.

  • The claimant applies to the registrar on its transmission forms, with the death certificate and the claimant's own PAN and identity papers.
  • Where there is no nominee, the registrar asks for more, by the value of the holding: heirs' declarations and no objections, or a succession certificate.
  • The dead holder's name on the certificate has to match the death certificate. Where it does not, the registrar wants evidence that both are one person.
  • A Gazette cannot be taken out for the person who has died. It can only record a living claimant's own change of name.
  • Shares and dividends left unclaimed for seven years are moved to an investor protection fund, and have to be claimed back from there.

Transmission with a name problem in the dead holder's record is slow work. See name correction in a death certificate and legal heir certificate.

How Does the Central Gazette Route Work?

Use this for a change of name other than on marriage, for a major mismatch, or where a married holder has no marriage certificate. Registrars across the country accept the Gazette of India.

Step 1: Ask the registrar how it classifies your difference

A minor mismatch needs no Gazette.

Step 2: Fix the name as on PAN, and list the other form as on the certificate

Letter by letter, from the certificate itself.

Step 3: Make the affidavit

State both forms, your father's or husband's name and your address. Sign before a notary.

Step 4: Publish the newspaper notice

In a daily local leading newspaper. Keep the original newspaper.

Step 5: Type the form and sign the undertaking

Two typed copies of the specimen, signed with two witnesses, and the undertaking.

Step 6: Prepare the CD, photographs and certificate

The same text on a CD in MS Word, two self-attested photographs with identity proof, and a certificate that both copies match.

Step 7: Pay the charge on BharatKosh

Commonly Rs 1,100 for an adult, with Rs 250 more for each alias. It is not refunded.

Step 8: Send the file yourself, then apply to the registrar

Send it to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. Send a print of the published notification to the registrar with the forms and a document showing the old name.

One Gazette notice serves every company you hold shares in. List all the forms of your name that appear across your certificates in the one notice.

Would a Registrar Accept the Uttarakhand Gazette?

The norms say official Gazette, without naming one. Registrars sit in Mumbai, Hyderabad and other cities, and are used to the Gazette of India. Ask before you choose a state notice.

Step 1: Ask the registrar, in writing, which Gazette it accepts

Keep the reply.

Step 2: Think about every company and PAN

If one Gazette has to serve several registrars, choose the Gazette of India.

Step 3: Contact the Roorkee press

Take the contact from govtpress.uk.gov.in and ask if a private change of name notice is being accepted.

Step 4: Ask for the papers, the format and the fee, and submit

Keep photocopies of everything.

Step 5: Download the notice

Search gazettes.uk.gov.in and save the PDF.

Which Mistakes Do Holders Make?

Common mistakes in a share certificate name change
MistakeWhat to do
Getting a Gazette for a one-letter differenceAsk the registrar. A minor mismatch needs one document
Sending certificates without keeping copiesPhotocopy both sides of every certificate first
Sending them by ordinary postRegistered post or a tracked courier
Having no document in the old nameSearch for one before you start. The norms ask for it
Opening the demat account in a different form of the nameOpen it exactly as on PAN
Letting the letter of confirmation lapseGive it to your depository participant at once
Paying a "share recovery" agent a share of the valueThe request is made by the holder, on free forms
Trying to correct a dead holder's nameApply for transmission as the claimant
Making a separate Gazette for each companyOne notice, listing every form of your name

A typical case we handle: a retired bank employee in Haldwani held certificates of four companies, bought in the 1980s as "R. S. Bisht", "Ramesh Bisht" and "Ramesh Singh". His PAN said "Ramesh Singh Bisht". One registrar treated the difference as minor. Two asked for a Gazette publication. We prepared one Gazette of India notice listing all three older forms as aliases, and he sent a print to each registrar with an old passbook showing the short form. All four holdings reached his demat account. This is an illustrative example of the type of case we handle, not a named client review.

What is a lawyer's job, not ours

A succession certificate, a disputed transmission, lost certificates with an indemnity in dispute, and a claim the registrar has rejected.

When you do not need us

For a minor mismatch, one explaining document. For a married name, the marriage certificate or a passport showing your husband's name. We are useful where the norms ask for publication in the official Gazette.

People Also Ask About a Share Certificate Name Change

How do I change my name on a physical share certificate?

Apply to the company's registrar on its forms, with the proof and the original certificates.

Is a gazette notification required for a share certificate name change?

For a change other than on marriage, or a major mismatch, the norms ask for it.

What is a minor mismatch in name?

A small difference between two of your documents, explained by one more document.

Will I get a new share certificate in my new name?

No. A letter of confirmation is issued, and the shares go into your demat account.

What documents are needed after marriage?

The marriage certificate, or a passport showing the husband's name, or the Gazette.

The shareholder has died. Can the name be corrected?

No. The heirs apply for transmission.

Can physical shares still be transferred?

No. Transfer of securities in physical form was stopped from 1 April 2019. Paper shares can still be converted into a demat account, and a holder's name can still be corrected through the registrar.

Was there a special window for old rejected share transfers?

Yes. The regulator opened a one-time window from 7 July 2025 to 6 January 2026 for transfer deeds lodged before 1 April 2019 and rejected or returned for deficiencies. Shares re-lodged in that window were issued only in demat form. The window is now closed.

Are transferred shares issued as paper under the special window?

No. During the window, shares re-lodged for transfer were processed only as transfer-cum-demat requests, so they went into a demat account. A name on that demat account follows PAN.

Will my folio be frozen if KYC is not updated?

Company notices say a November 2023 circular removed the earlier freezing provisions for physical folios, and that not giving a choice of nomination does not freeze demat accounts or mutual fund folios. Update PAN and KYC anyway, since requests are not processed without them.

When were investors last allowed to re-lodge physical transfers before 2025?

After physical transfers stopped in 2019, investors had until 31 March 2021 to re-lodge rejected requests. The 2025 window was a second, one-time chance.

Do post office savings certificates follow the same rules?

No. NSC and KVP are not shares and have no registrar. They are corrected at the post office. See name change in post office savings, NSC and KVP.

The norms on a minor mismatch, a change of name, the forms and the letter of confirmation are as registrars and professional sources reproduce the Securities and Exchange Board of India's circulars. We did not read the current master circular in the regulator's own text. The period for which a letter of confirmation is valid, and what happens to a dead holder's shares, are general guidance.
