Child Name Change in School Records in Uttarakhand
How a child's name is corrected or changed in the school register and in board records, what the school asks for, and why it must be done before the board examination.
A child name change in school records starts at the school. For a spelling mistake, the school corrects its register from the birth certificate on the parent's written request. For a real change of name, the school usually asks for a Gazette notification. Do it before the child is registered for a board examination, because boards are far stricter.

A child name change in school records matters more than any other update, because the school's entry becomes the name on the class 10 certificate, and that certificate follows a person for life. This page explains child name change in school records in Uttarakhand: the three levels of record, what each needs, and the right time to act.
For the whole process for a child, read minor name change in Uttarakhand. The school and the board make their own decisions, and nothing on this page binds them.
What Are the Three Levels of School Record?
A child's name sits in three places during the school years. Each is held by a different body and is harder to change than the one before.
| Level | What it is | Who holds it | How hard to change |
|---|---|---|---|
| 1. School register | The admission register, report cards and the transfer certificate | The school | Easiest. The school can correct its own register |
| 2. Board registration | The list of candidates the school sends to the board, usually from class 9 | The board, through the school | Harder. The board's rules and dates apply |
| 3. Board certificate | The class 10 and class 12 marksheets and certificates | The board | Hardest. Strict rules and time limits |
The name flows downward. What the school wrote on the admission form goes into its register, from the register to the board's list, and from the list onto the certificate. An error caught at level 1 is a small matter. The same error at level 3 can take months and may need a court.
Schools in Uttarakhand are affiliated to different boards: the Uttarakhand Board of School Education, the Central Board of Secondary Education, or the Council that conducts the ICSE and ISC examinations. Each board has its own rules, so the first question at level 2 or 3 is always which board.
Is It a Correction or a Change?
Schools and boards treat the two very differently, so settle this first.
| Point | Correction | Change |
|---|---|---|
| What happened | The school wrote the child's true name wrongly | The parents want a different name from the one recorded |
| Example | Birth certificate says Ananya Joshi. The register says Anaya Joshi | The register rightly says Gudiya Joshi. The parents want Ananya Joshi |
| Proof | The birth certificate, or the admission form | A Gazette notification, usually with an affidavit |
| At the school | Corrected on the parent's written request | Changed once the Gazette is shown |
| At the board | Allowed within the board's time limit | Tightly restricted. Ask before you assume |
If the name in the school record matches the birth certificate and you want something else, that is a change, however small it looks. A new spelling for numerology is a change. Adding a surname that was never recorded is a change.
For the difference in general, read name correction vs name change.
How Do You Get the School Register Corrected?
For a correction, before the child is registered with a board, this is usually all it takes.
Step 1: Compare the papers
Put the birth certificate, the child's Aadhaar and a recent report card side by side. Note exactly how the school has the name.
Step 2: Make sure the base papers agree
If the birth certificate and Aadhaar differ from each other, settle that first. The school will follow the birth certificate.
Step 3: Write to the principal
A short application giving the child's class and admission number, the name as recorded and the name as it should be.
Step 4: Attach proof
A copy of the birth certificate, and the Gazette notification if this is a change of name.
Step 5: Get a dated receiving
Keep a copy of your application with the school's stamp and date.
Step 6: Check the result
Ask to see the corrected entry, and check the next report card and the school's online record.
Step 7: Ask what goes to the board
If the child is in class 8 or above, ask the school to confirm the name it will send for board registration.
What Does a School Usually Ask For?
Schools differ, and each can set its own list. These are the papers commonly asked for.
For a correction
- A written application by a parent
- The child's birth certificate
- The child's Aadhaar, if issued
- The parents' identity proof
- Sometimes an affidavit by the parents
For a change of name
- A written application by a parent
- The Gazette notification of the child's change of name
- The parents' affidavit and the newspaper notice
- The child's updated Aadhaar, where the school asks for it
- The school's own form, if it has one
For the parents' affidavit, see name change affidavit for a minor. Where the school has its own format, use the school's.
What Happens Once a Board Is Involved?
Once the school has sent the child's name to a board, the school can no longer change it alone. The request goes to the board, through the school, under the board's own rules.
The Central Board of Secondary Education
The board's examination rules have long separated a correction from a change.
- Correction. A spelling or typographical error, corrected to match the school's record. The rules have set a short period after the result for applying, and the application is forwarded by the head of the school.
- Change. The rules have asked for the change to be admitted by a court and notified in the Government Gazette before the result is published.
- The Supreme Court's view. In 2021 the Supreme Court held that a complete bar on a change of name after the result was too restrictive, and said candidates may seek a change on later court orders and Gazette publications, within a reasonable time limit set by the board.
These rules have been revised more than once. Do not rely on a summary, this one included. Ask the school for the rule in force on the day you apply.
The Uttarakhand Board and the Council
The Uttarakhand Board of School Education and the Council that conducts the ICSE and ISC examinations each have their own procedure, forms and fees. We do not quote them here because we could not confirm their current text. Apply through the school, and ask it for the board's form and time limit.
When Is the Right Time to Act?
| The child is in | What is still open | What to do |
|---|---|---|
| Nursery to class 7 | Everything. Only the school register is involved | Correct or change now, at the school |
| Class 8 | The last easy year in most schools | Check the name the school holds, and settle any change this year |
| Class 9, before registration | The school has not yet sent the list to the board | Ask the date of registration, and finish before it |
| Class 9 or 10, after registration | The board's correction window, if it has one | Apply through the school at once |
| After the class 10 result | Only what the board's rules allow | Ask the school for the rule and the time limit on the same day |
Many boards register candidates in class 9 for the class 10 examination, and again in class 11 for class 12. So class 8 is the year to look at the school's record with care, even if nothing seems wrong.
A Gazette commonly takes 3 to 7 weeks. If a change of name has to reach the school before board registration, start at least three months ahead.
When Is a Gazette Needed for School Records?
A different name
The parents want a name other than the one on the birth certificate and in the register.
A surname added or changed
The register has only a first name, or a surname the family does not use.
The school asks for it
The principal says in writing that the school needs a Gazette notification.
A board is involved
For a change in a board record, a Gazette is among the papers boards ask for.
The birth certificate cannot be the base
The birth record itself carries a home name, and the family uses another.
A Gazette is not needed for a plain correction that the school makes from the birth certificate. If that is your case, you do not need us.
How Does the Central Gazette Route Work for a School Child?
The notice goes in Part IV of the Gazette of India. Boards and schools across India accept it.
Step 1: Settle who signs
Both parents, or one parent with a court order, or the legal guardian.
Step 2: Fix the child's exact new name
The spelling, spacing and order that will go on the board certificate.
Step 3: Make the parents' affidavit
State the child's old name, new name and date of birth. Sign before a notary.
Step 4: Publish the newspaper notice
In a daily local leading newspaper, with the parent's name and address. Keep the original newspaper.
Step 5: Type the minor's form
Two typed copies of the specimen for a minor, signed by the parent with two witnesses.
Step 6: Prepare the CD, photographs and certificate
The same text on a CD in MS Word, the photographs, self-attested identity proof, and a certificate that both copies match.
Step 7: Pay the minor's charge on BharatKosh
Commonly Rs 1,700. Confirm it before you pay. It is not refunded.
Step 8: Send the file yourself, then take the Gazette to the school
Send it to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. Download the published Gazette from egazette.gov.in and give the school a printed set with your application.
Will a School Accept the Uttarakhand Gazette?
Ask the school, and through it the board, before you choose. The Government Press at Roorkee sets its own practice for private notices.
Step 1: Ask the school which Gazette its board accepts
A board based outside the state may want the Gazette of India.
Step 2: Think about the child's later years
College, a passport and work outside the state all point to the Gazette of India.
Step 3: Contact the Roorkee press
Take the contact from govtpress.uk.gov.in and ask if a private notice for a minor is being accepted.
Step 4: Ask for the papers, the format and the fee
Then publish the newspaper notice and submit the file as directed.
Step 5: Download the notice and take it to the school
Search gazettes.uk.gov.in and save the PDF.
To weigh the two, read Uttarakhand Gazette vs Gazette of India.
What If the Child Is Changing Schools?
A move is the best chance to get the name right, and the easiest moment to carry an error forward.
- The new school copies the name from the transfer certificate. Read the transfer certificate before you leave the old school.
- If the old school's record is wrong, ask it to correct its register and issue the transfer certificate in the right name. It is harder to do once the child has left.
- Fill the new admission form from the birth certificate, letter by letter, and in the same order of names.
- If a change of name is under way, tell the new school at admission and give it the Gazette as soon as it is published.
A transfer certificate with one name and a birth certificate with another is a difference the new school will ask you to explain. Carry both, and the Gazette if there is one.
What About a Parent's Name in School Records?
A child's certificate also carries the father's and the mother's names, and these go wrong as often as the child's own.
- A spelling mistake in a parent's name is corrected by the school from the parent's identity proof, in the same way as the child's.
- Where a parent has changed his or her own name by Gazette, give the school that Gazette, so the child's later papers show the parent's present name.
- Where a parent's name is wrong in a board certificate, the board's correction rules apply, with their time limits.
- Where a board wants Gazette proof that a parent's name was wrongly written, the paper is a public notice. See public notice for wrongly written name.
Check all three names, the child's, the father's and the mother's, every time you check one.
Which Mistakes Do Parents Make With School Records?
| Mistake | What to do |
|---|---|
| Not reading the admission form before signing | Check every name against the birth certificate |
| Finding the error in class 10 | Check the school's record in class 8 |
| Paying for a Gazette for a one-letter correction | Ask the school to correct from the birth certificate |
| Asking the school to enter a new name with no Gazette | A change of name needs the Gazette first |
| An oral request at the office counter | Write to the principal and keep a receiving |
| Assuming the school has told the board | Ask to see the name sent for registration |
| Missing the board's correction window after the result | Apply through the school at once |
| Leaving with a transfer certificate in the wrong name | Get it corrected before you leave |
| Checking only the child's name | Check the father's and the mother's names too |
A typical case we handle: a father in Kotdwar found in class 8 that his daughter's school register had her name with one letter different from her birth certificate. He had been told to get a Gazette. He wrote to the principal with the birth certificate, the school corrected its register that month, and the right name went to the board the next year. No Gazette was needed. This is an illustrative example of the type of case we handle, not a named client review.
When you do not need us
A correction from the birth certificate is between you and the school, and costs nothing. A request to a board goes through the school on the board's own form. We are useful only where a real change of name is being made and a Gazette is needed for it. A dispute with a board is a lawyer's work.

Child Name Change in School Records: The Short Version
A child's name sits at three levels: the school register, the board's registration list and the board certificate. A spelling correction at the first level is made by the school from the birth certificate, with no Gazette. A real change of name needs a Gazette, which the school then acts on. Once a board is involved, its own rules and time limits apply.
