Why Does PAN Come First?
- Guides say the form validates what is typed against the PAN database. A name that PAN does not yet show will not go through.
- They advise that where the name, the father's name or the date of birth is wrong on PAN itself, PAN is corrected first and the form filed afterwards.
- The name fields on the form follow PAN's: first, middle and last. A middle name is entered only where PAN carries one.
- A director with a single name is allowed one on the form only where PAN shows the same single name.
- So the sequence is the paper recording the change, then Aadhaar, then PAN, then the director's form.

What Is the Order of Work?
Step 1: Get the paper that records the change
The marriage certificate, or the Gazette notification.
Step 2: Update Aadhaar, then PAN
Wait until the PAN database shows the new name.
Step 3: Tell the company's secretary or accountant at once
The thirty days are theirs to manage, and they certify the form.
Step 4: Get a digital signature in the new name
The form is signed digitally, and the signature is issued on PAN.
Step 5: File the form for a change in the director's particulars
With PAN, the proof of the change and the professional's certification.
Step 6: Check the ministry's public record of the director
Once the form is approved, the name should read as on PAN against every company you serve.
Step 7: Update the company's own registers and papers
The register of directors, the letterhead and the bank mandate.
Step 8: Do the yearly check in the new name
So that the number is not deactivated for a mismatch.
What Proof Is Asked For?

For a change of name

"Where required" is the guides' phrase, and they do not all define it. In practice it means a change that is neither a spelling nor a marriage. PAN asks for a Gazette for such a change anyway, so the notification is already in hand by the time the form is filed.
What About the Yearly Check on Directors?
- Every holder of a director's number completes a yearly identity check with the ministry.
- Guides say a number is deactivated where the holder does not complete it in time.
- The check reads the director's PAN, Aadhaar, mobile and email. Where the name on record differs from PAN or Aadhaar, it can fail.
- A director with a deactivated number cannot sign the company's filings, which stalls the company as well as the director.
- So a name difference is best cured in the months before the check falls due, not in its last week.
Which of the Company's Own Records Follow?
- The register of directors, kept at the registered office.
- The register of members and the share certificates, where the director also holds shares.
- Board minutes and resolutions, from the date of the change. Earlier ones stay as signed.
- The letterhead, the website and the annual report, wherever directors are named.
- The annual filings, which carry the directors' names and numbers.
- The director's service agreement, and any personal guarantee given to a lender for the company.

What About Designated Partners of an LLP?
- A designated partner of a limited liability partnership holds the same kind of number, and guides say the same form and the same thirty days apply.
- The partnership agreement names the partners. A supplementary agreement, or a note with the linking paper, records the change of a partner's name.
- A person who is both a director of a company and a designated partner of an LLP holds one number. One filing updates it for both.
- A partner in an ordinary partnership firm has no such number. The firm's deed, its PAN and its registration with the Registrar of Firms are what change. Ask the firm's accountant.
How Does the Central Gazette Route Work?
Use this where a director has changed a name other than by marriage. PAN asks for it, and the director's form lists it. The ministry and PAN are central records, so the Gazette of India is the one to use.
Step 1: Confirm that it is a change, and not a spelling against PAN
A spelling is corrected by the form alone.
Step 2: Tell your company secretary before you start
So that the PAN update and the filing are lined up behind the notification.
Step 3: Fix the exact new name, divided as PAN will divide it
First, middle and last.
Step 4: Make the affidavit and publish the newspaper notice
Sign before a notary. Publish in a daily local leading newspaper, and keep the original newspaper.
Step 5: Type the form and sign the undertaking
Two typed copies of the specimen, signed in your old name with two witnesses, and the undertaking.
Step 6: Prepare the CD, photographs and certificate
The same text on a CD in MS Word, two self-attested photographs with identity proof, and a certificate that both copies match.
Step 7: Pay the charge on BharatKosh
Commonly Rs 1,100 for an adult. It is not refunded.
Step 8: Send the file yourself, then update in order
Send it to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. With the published Gazette, update Aadhaar and PAN, and have the director's form filed within the time allowed.
Would the Uttarakhand Gazette Do for a Director?
The guides say "Gazette notification" without saying which. PAN comes first and the ministry is central, so the Gazette of India is the safer choice.
