Polytechnic Diploma Certificate Name Correction in Uttarakhand
A wrong name on a diploma or a semester mark sheet: who issues them, how a request reaches the board, what to check while you are still enrolled, and where a Gazette comes in.
A polytechnic diploma name correction is applied for through the polytechnic you studied at, whose principal forwards it to the Uttarakhand Board of Technical Education at Roorkee. Your class 10 certificate is the proof. A printing or enrolment mistake is corrected. A name changed after the diploma is seldom reprinted, and the Gazette is then kept with it.

A polytechnic diploma name correction is usually found at the worst moment: at document verification for a junior engineer's post, or at lateral entry to a degree course. This page explains polytechnic diploma name correction for diploma holders and students of polytechnics in Uttarakhand, and how a request travels to the board.
We do not correct diplomas. The technical board does, on the polytechnic's forwarding. Our work is the Gazette, which has a part only where a name has been changed or the board asks for one. For school certificates, which come first, read name change in education documents in Uttarakhand.
Which Board Is This, and Which Papers Does It Issue?
Diploma courses at Government and private polytechnics in the state come under the Uttarakhand Board of Technical Education, at Roorkee. The board was set up by a state Act of 2003, which was notified in January 2004.
- The board holds the semester and annual examinations and declares the results.
- It issues a mark sheet for each semester or year, and the diploma certificate at the end.
- It also issues provisional and migration certificates, and duplicates of lost papers, through the institution.
- The polytechnic admits the student, keeps the admission record, and forwards requests to the board.
So there are two offices in every request: the polytechnic, which holds your admission papers, and the board, which prints the certificate. As with a school board, you deal with the first, and it writes to the second.
Diplomas in pharmacy and some other fields may come under the same board or a different body. Read the name of the issuing body on your own diploma.
Where Does the Name on a Diploma Come From?
- The entrance or counselling form. You filled it online, usually from your class 10 certificate.
- The polytechnic's admission record. Made when you reported with your documents.
- The board's enrolment. The polytechnic sent your particulars to the board, which gave you an enrolment or roll number.
- The examination forms. Filled each semester from the same record.
- The mark sheets and the diploma. Printed by the board from its enrolment record.
A diploma is therefore right if the class 10 certificate was right and each form copied it faithfully. Where it is wrong, look at your first semester mark sheet. If the mistake is already there, it began at enrolment. If the mark sheets are right and only the diploma is wrong, it is a printing slip.
Which Case Is Yours?
| The situation | What it is | Route | Gazette? |
|---|---|---|---|
| The mark sheets are right and the diploma has a slip | A printing error | Apply through the polytechnic, with the mark sheets | No |
| The mark sheets and the diploma carry the same mistake, and class 10 is right | An error at enrolment | Apply with the class 10 certificate | Usually no |
| The father's or mother's name is wrong | A correction | Apply with the class 10 certificate and the parent's identity proof | Usually no |
| Still studying, and a mark sheet is wrong | A correction in the record | Report it to the polytechnic now, before the final examination | No |
| The class 10 certificate has the mistake too | An error that began at school | Correct the class 10 certificate first | Ask the school board |
| You changed your name while enrolled | A change during the course | Tell the polytechnic before the final examination form | Yes |
| You changed your name after the diploma | A change after the award | Ask what the board does. Often nothing is reprinted | Kept with the diploma |
The first four rows are corrections of the board's own record against the papers you gave. Those are the cases a board acts on most readily.
How Do You Apply?
We could not confirm the board's own form, fee or time limit for a correction. This is the general method, and the polytechnic's office will give you the current form.
Step 1: Lay out your papers and find where the mistake begins
Class 10 certificate, first semester mark sheet, last mark sheet, diploma.
Step 2: Correct the class 10 certificate first, if it is wrong
The board will not print a name your class 10 certificate does not show.
Step 3: Go to the polytechnic you studied at
Ask the office for the board's correction form, the fee and the papers it wants.
Step 4: Apply in writing through the principal
Give your enrolment and roll numbers, the year, the branch, the entry as printed and as it should read.
Step 5: Attach the proof and the originals asked for
Keep clear copies of every mark sheet and of the diploma before you hand them over.
Step 6: Pay the fee as the board directs
Keep the receipt or the challan copy.
Step 7: Keep the forwarding letter's number and date
The polytechnic hears from the board. Follow up with its office, and with the board if it stalls.
Step 8: Check the corrected papers
Read your name, both parents' names, the branch and the year on every mark sheet and on the diploma.
Ask for every semester's mark sheet to be corrected in the same request. A corrected diploma beside six uncorrected mark sheets settles nothing.
Which Proof Should You Carry?
The board decides what it needs. These are the papers commonly asked for.
For a correction
- The application, forwarded by the principal
- The original diploma and mark sheets that carry the mistake
- The class 10 certificate
- The admission or counselling papers, if you have them
- Identity proof
- An affidavit, where the board asks for one
- The fee receipt
Where the name has changed
- The Gazette notification of the change
- The newspaper notice and the affidavit, where asked
- Identity proof in the new name
- For a married name, the marriage certificate
- The corrected class 10 certificate, where that was corrected
For the affidavit, see name spelling correction affidavit.
What Should You Check While You Are Enrolled?
A diploma takes three years, with a mark sheet every semester. Each one is a chance to catch a mistake before the diploma is printed.
- Read the first semester mark sheet the day it comes. Name, father's name, mother's name, against the class 10 certificate.
- Report a mistake to the office in writing, with a copy of the class 10 certificate. Ask for the board's record itself to be corrected, so that later mark sheets follow.
- Check each examination form before it is submitted. A form typed in a different spelling can travel to the next mark sheet.
- Check again on the next mark sheet that the correction has held.
- Settle it before the final examination form. After that, the name goes to print on the diploma.
What Happens After the Diploma Is Issued?
| Request | What boards usually do |
|---|---|
| A printing or enrolment mistake, proved by the class 10 certificate | Correct it and reissue, on the form and fee |
| A name changed by Gazette after the diploma | Often not reprinted. Ask the board in writing what it does |
| A married name | Not usually reprinted. The marriage certificate is the link |
A diploma records that a person, under the name held then, passed a course. Read with a Gazette notification, a diploma in the old name is accepted by most employers. You do not usually need the diploma itself to carry the new name.
A duplicate is a different request. It replaces a lost or damaged paper with the same particulars, and is applied for through the institution with a police report and a notice, as guides describe. Do not apply for a duplicate when what you want is a correction.
What About Older Diplomas?
- The state's technical board was notified in January 2004. A diploma from a polytechnic in what is now Uttarakhand, earned before the board began its work, was issued under the earlier board.
- Read the name of the board printed on the diploma. That body, or its successor, holds the record.
- Ask your polytechnic's office where a request for an older diploma is sent. It deals with such cases.
- Where an old record cannot be traced, or the board will not act after so long, a Gazette notice linking the two forms of the name is the practical answer.
A diploma from a polytechnic outside the state is corrected by that state's technical board, through that polytechnic.
What Happens at Lateral Entry, a Job or a Verification?
Lateral entry to a degree
- The university takes your name from the diploma and the class 10 certificate
- If the two differ, it will ask which is right before it enrols you
- A mistake carried into the degree is a second correction, at a second office
- Put the diploma right before you apply
Jobs and verification
- Recruiters for technical posts compare the diploma with the class 10 certificate and identity proof
- Many send the diploma to the board for verification, which replies from its record
- Verification dates are short, and a board correction is not
- Carry a sworn statement and the linking paper, and ask for time, if a correction is pending
For work abroad, the diploma and transcripts are compared with the passport. See name change in passport in Uttarakhand.
When Is a Gazette Asked For?
A change of name
During the course, so the diploma is printed in the new name. Or after it, where the board will reissue or note the change.
The board asks for it
For a late correction, or where the class 10 certificate cannot settle the right name.
The diploma will stay as it is
A Gazette notice kept with the diploma links it to your identity papers.
A Gazette is not needed for a printing slip that your mark sheets or class 10 certificate prove. Ask the polytechnic what the board wants before you prepare one. See name correction vs name change in the Gazette.
How Does the Central Gazette Route Work?
A diploma is used for central recruitment and across states, so the Gazette of India is the usual choice. The notice goes in Part IV.
Step 1: Get the board's requirement in writing, through the polytechnic
Ask what it will do on a Gazette notification: reissue, note it, or nothing.
Step 2: Choose the right kind of notice
A change of name notice for a name you have taken. A public notice where your name was wrongly written in your educational documents.
Step 3: Fix the exact name
The spelling, spacing and order to be used on every paper.
Step 4: Make the affidavit or the undertaking
An affidavit before a notary for a change of name. An undertaking for a public notice.
Step 5: Publish the newspaper notice
In a daily local leading newspaper. Keep the original newspaper.
Step 6: Type the form and prepare the CD
Two typed copies of the specimen, signed with two witnesses, the same text on a CD in MS Word, photographs with identity proof, and a certificate that both copies match.
Step 7: Pay the charge on BharatKosh
Commonly Rs 1,100 for an adult's change of name and Rs 1,400 for a public notice. It is not refunded.
Step 8: Send the file yourself, then use the Gazette
Send it to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. Give the published Gazette to the polytechnic with the board's form, or keep it with your diploma.
Would the Board Accept the Uttarakhand Gazette?
The technical board is a state body, so a state notice may serve there. A central recruiter or a university outside the state is the reason to think twice.
Step 1: Ask the polytechnic to confirm with the board which Gazette it accepts
In writing.
Step 2: Think about where the diploma will be used
For a central post, a degree outside the state or a passport, choose the Gazette of India.
Step 3: Contact the Roorkee press
Take the contact from govtpress.uk.gov.in and ask if a private notice of the kind you need is being accepted.
Step 4: Ask for the papers, the format and the fee, and submit
Keep photocopies of everything.
Step 5: Download the notice
Search gazettes.uk.gov.in and save the PDF.
To weigh the two, read Uttarakhand Gazette vs Gazette of India.
Which Mistakes Do Diploma Holders Make?
| Mistake | What to do |
|---|---|
| Not reading the semester mark sheets | Check each one against the class 10 certificate |
| Having one mark sheet corrected, not the record | Ask for the board's record to be corrected |
| Writing straight to the board | Apply through the principal of your polytechnic |
| Correcting the diploma before the class 10 certificate | Correct the oldest certificate first |
| Applying for a duplicate when a correction is needed | A duplicate repeats the mistake |
| Joining a degree by lateral entry with a wrong diploma | Put the diploma right first |
| Paying for a Gazette to fix a printing slip | Your mark sheets and class 10 certificate are the proof |
| Handing over originals without copies | Keep clear copies and the forwarding letter |
| Waiting for a recruitment notice | Apply as soon as you see the mistake |
A typical case we handle: a diploma holder from Kashipur applied for lateral entry to an engineering degree and was told his diploma gave his name as "Pankaj Kumar" while his class 10 certificate said "Pankaj Kumar Joshi". He asked us for a Gazette. His first semester mark sheet had the full name, so the surname had been dropped later. That made it a correction. His polytechnic forwarded his request with the mark sheets and the class 10 certificate, and the board reissued the papers. This is an illustrative example of the type of case we handle, not a named client review.
What is a lawyer's job, not ours
A refusal by the board to correct a clear mistake, a diploma withheld, and a post or an admission lost over a certificate.
When you do not need us
For a printing or enrolment mistake that your mark sheets or class 10 certificate prove, you need the polytechnic and the board's form. We are useful where the board asks for a Gazette, or where you have changed your name and the Gazette will stand beside the diploma.
Which Areas of Uttarakhand Do We Cover?
All 13 districts: Dehradun, Haridwar, Pauri Garhwal, Tehri Garhwal, Rudraprayag, Chamoli, Uttarkashi, Nainital, Udham Singh Nagar, Almora, Bageshwar, Champawat and Pithoragarh. The correction starts at the polytechnic you studied at. The Gazette file, where one is needed, is prepared on WhatsApp.
People Also Ask About a Diploma Name Correction
How can I correct my name in my polytechnic diploma?
Apply through the principal of your polytechnic, with your class 10 certificate, to the technical board.
Which board issues polytechnic diplomas in Uttarakhand?
The Uttarakhand Board of Technical Education, at Roorkee.
Is a gazette required for a diploma name correction?
Not for a printing slip your mark sheets prove. The board may ask for one for a change.
Can I get my diploma reissued after a name change?
Often not, once it is issued. Ask the board in writing through the polytechnic.
Should I correct my marksheets or my diploma?
Both, in one request, after the class 10 certificate is right.
Is a duplicate diploma the same as a corrected one?
No. A duplicate repeats the particulars of the original.
When exactly was the technical board set up?
As reproduced on a results site, the board was set up by Act No. 27 of 2003, assented to by the Governor on 13 January 2004 and notified on 15 January 2004. It extends to the whole state.
Does lateral entry counselling in Uttarakhand use DigiLocker?
Yes. The state technical university's 2026 instruction manual for online counselling has applicants register through DigiLocker, with an option for diploma holders seeking two-year lateral entry.
Which names does lateral entry counselling take from DigiLocker?
The 2026 instruction manual lists the candidate's name, father's name and mother's name among the details fetched, with the class 10 and 12 mark sheets. A wrong name on those records carries straight into the application.
Why can't I pull my diploma into DigiLocker?
Usually a name mismatch. DigiLocker says the name on the document must match the name on your Aadhaar, and with a mismatch you will not be able to pull the document.
How do I fix a DigiLocker name mismatch for a diploma?
Update either Aadhaar or the name on the document so that the two match, as DigiLocker's own answers say. Where the diploma is wrong, that means the board's correction through the polytechnic.
Is a diploma on DigiLocker a valid document?
Yes. A UGC letter of 23 September 2024 says academic awards lodged by issuers on the DigiLocker and ABC platform, including diplomas, are valid documents under the Information Technology Act, 2000.

That diplomas in the state come under the Uttarakhand Board of Technical Education at Roorkee, and when the board was set up, is from the board's own published introduction. The method of correction, the proof, and what a board does for a changed name are general guidance, since we could not confirm the board's own correction form, fee or time limit. The board is the authority.

Polytechnic Diploma Name Correction: The Short Version
A diploma carries the name on the technical board's enrolment record. A mistake is corrected through the polytechnic, whose principal forwards your request to the board at Roorkee, with your class 10 certificate as proof. Correct the class 10 certificate first if it is wrong, and have every semester mark sheet corrected with the diploma.
A name changed after the diploma is seldom reprinted. The Gazette notification is then kept with it. To find out where your mistake begins, send photos on WhatsApp 9540005064, and we will reply in working hours.
