Hotel Booking Name Mismatch in Uttarakhand: Check-In and Identity Papers
For travellers whose hotel booking carries a name that differs from the identity paper they will show at the desk, and for those who booked for someone else: why a hotel asks, what it reads, how a booking is corrected, and what a foreign guest and a homestay owner should know.
A hotel booking name mismatch is corrected before you travel, through the site you booked on or by writing to the hotel. The guest name on the booking should be the name on the identity paper that guest will show. Every adult carries an original identity paper. No Gazette is needed.

People book a room in the hills on a phone, under whatever name the app already holds. At the desk in Mussoorie or Nainital a clerk asks for identity papers and reads them against the booking. A hotel booking name mismatch is the gap between the two, found at nine at night with children in the car. This page explains hotel booking name mismatch, and how to avoid it.
We do not handle bookings, and this subject needs no Gazette. That a hotel has to report a foreign guest in Form C within 24 hours is from published accounts of the foreigners' registration rules. The rest is general guidance, since each hotel sets its own rules. For air travel, read flight ticket name mismatch.
Which Three Names Does a Booking Carry?
| Name | Who it is | Used for |
|---|---|---|
| The account holder | Whose app or site account made the booking | Messages, changes and cancellation |
| The payer | Whose card or account paid | The refund, if there is one |
| The guest | Who will stay in the room | Check-in, the register and the bill |
Often all three are one person. When a son books for his parents, or an office for its staff, they are three. The desk cares about the third. See that the guest's name is on the booking, and is the name on the guest's own identity paper.
Why Does a Hotel Ask?
From published accounts of the foreigners' registration rules, and from common practice. We did not read the state's own rules for hotels.
| Point | What applies |
|---|---|
| The register | A hotel keeps a register of its guests, which the police can inspect |
| Indian guests | Hotels commonly ask each adult for a Government photo identity paper |
| Foreign guests | Whoever provides accommodation to a foreigner submits the foreigner's details in Form C to the registration authorities within 24 hours of arrival |
| What Form C draws on | The passport and the visa |
| Beyond that | A hotel's own house rules, which differ from one to the next |
A clerk who studies your card is doing what he is required to do. A hotel that takes in a guest it cannot identify answers for it later.
What Is Read at the Desk?
| Paper | Whose name | Who can correct it |
|---|---|---|
| The booking | The guest named on it | The account holder, or the hotel |
| The identity paper | The guest's | Its issuing authority, not in a day |
| The register entry | Written by or for the guest | The guest, at the desk |
| The bill | The guest, or an employer | The hotel, before it is closed |
Only the first can be changed in the time a trip allows. So when a booking and an identity paper differ, it is always the booking that moves.
What Kinds of Mismatch Are There?
Another person's name
- The booking is in the name of whoever made it
- A son, a friend, an agent, an office
- The guest is added by name
A loose form of the guest's name
- A nickname or short name saved in an app years ago
- Or a spelling the keyboard chose
- Edited to match the identity paper
A name the guest no longer shows
- A married surname on the booking, a maiden name on the identity paper, or the reverse
- Both are the guest's. Only one is on the card in her bag
- The booking follows the card
The first is the commonest, and the easiest to forget, since the person who booked never thinks of himself as a stranger to the trip.
Which Case Is Yours?
| The situation | Route | Gazette? |
|---|---|---|
| The booking is in a relative's or friend's name | He adds you as the guest | No |
| The booking has a nickname | Edit the guest name | No |
| The booking has a spelling slip | Edit it, or write to the hotel | No |
| A married name on the booking, a maiden name on the identity paper | Change the booking to the identity paper | No |
| An office booked, in the company's name | See that your name is on it as guest | No |
| A foreign guest's name is in a different order | Enter it as the passport prints it | No |
| The identity paper itself is out of date or wrong | Carry another photo identity paper. Correct the first later | No |
| The guest has changed a name by choice | Book in the name the identity paper now carries | For the papers, not the trip |
No trip needs a Gazette. A person who has changed a name books in whichever name is on the card she carries that week.
How Do You Put It Right?
This is the general method. Do it the day you book, not the day you arrive.
Step 1: Open the booking and read the guest's name on it
Not the name of the account that booked. The name of the person who is to stay.
Step 2: Take out the identity paper that guest will carry
Read the two side by side.
Step 3: If they differ, change the guest name before you travel
Through the app or site where you booked, or by writing to the hotel.
Step 4: If someone else booked for you, ask them to add you as the guest
With your name as on your identity paper.
Step 5: Ask the hotel in writing to confirm
A reply on the booking's own message thread, or an email. Keep it on your phone.
Step 6: Carry an original identity paper for every adult
And for a foreign guest, the passport and visa.
Step 7: Sign the register in the name on your identity paper
The register is a record the police may read.
Step 8: Ask for the bill in the name you need
Your own, or your employer's with its tax number, before you pay.
What If Someone Else Booked?
- A child books for parents, a friend for a group, an agent for a family.
- Booking sites let the person booking name a different guest. Many people skip that box.
- The hotel then expects the account holder, and meets two elderly strangers.
- The cure is to add the guests by name on the booking, each as on an identity paper.
- For a group, give the hotel a list of every adult's name before arrival.
- The person who booked should be reachable by phone on the day. A hotel may call him.
Old parents travelling alone should carry the booking's confirmation on paper, with their own names on it. Read train ticket and IRCTC name mismatch, on the same problem with rail tickets.
What About Couples and Different Surnames?
- Many wives keep their own surname, or have not yet changed their papers. Their identity papers then differ from their husbands'.
- No law requires spouses to share a surname, and we know of none that makes a guest prove a marriage to stay in a hotel.
- A hotel sets its own house rules all the same, and some desks ask.
- Each person shows his or her own identity paper, and is entered in the register in that name.
- A photograph of the marriage certificate on a phone ends most questions in a moment.
- Do not alter a booking to give both guests one surname. It then matches neither card.
Read is a name change compulsory after marriage and name change after marriage.
What About Foreign Guests?
- A foreign guest shows a passport and a visa. Nothing else serves.
- The hotel submits the guest's details in Form C within 24 hours of arrival, as published accounts of the rules say.
- It copies the name from the passport, so the booking should carry the same name in the same order.
- A person of Indian origin who holds a foreign passport is usually treated as a foreign guest, and shows that passport. Ask the hotel.
- Many students and yoga trainees stay for weeks in Rishikesh. The place they stay reports them as a hotel would.
- A guest whose papers are unclear may not be given a room, since the host has to report from them.
Read name change for NRIs from Uttarakhand and yoga teacher certificate name mismatch.
What About the Bill and the Refund?
- A bill is made in the guest's name unless the hotel is told otherwise.
- A person who will claim the stay from an employer needs the bill in the employer's name, with its tax number.
- Say so at check-in. A bill is hard to change once the day's accounts are closed.
- A refund for a cancelled booking goes back to the card or account that paid.
- So if a friend paid and you cancelled, the money returns to the friend.
- Keep the bill. It is also the proof of where you were on a date, which is sometimes worth having.
Read consumer complaint name mismatch, on a bill in another's name.
What If You Run a Hotel or a Homestay?
- Write each adult guest in your register from the identity paper shown, in full.
- Do not copy the name from the booking. A booking is typed by anyone.
- Note the kind of identity paper and its number, as your local police ask.
- For a foreign guest, file Form C in time, from the passport.
- Where a booking and a card differ, ask who booked, and note it. Do not turn a family away at night over a nickname.
- Keep the register safely for as long as you are required to.
Your own registration as a host is a separate matter. Read homestay registration name change and tourism registration name mismatch.
Where Does a Gazette Come In?
Nowhere in a trip. It comes in only where a person has changed a name by choice and wants identity papers to carry it. Once they do, bookings are made in that name.
Step 1: Confirm that your own name has in fact changed
A nickname on an app or a relative's booking is not a change of name.
Step 2: Do not think of a Gazette for a trip
It takes weeks. A booking is corrected in minutes.
Step 3: Fix the exact new name
The spelling that will go on Aadhaar and the passport.
Step 4: Make the affidavit and publish the newspaper notice
Sign before a notary. Publish in a daily local leading newspaper, and keep the original newspaper.
Step 5: Type the form and sign the undertaking
Two typed copies of the specimen, signed in your old name with two witnesses, and the undertaking.
Step 6: Prepare the CD, photographs and certificate
The same text on a CD in MS Word, two self-attested photographs with identity proof, and a certificate that both copies match.
Step 7: Pay the charge on BharatKosh
Commonly Rs 1,100 for an adult. It is not refunded.
Step 8: Send the file yourself, then update your identity papers
Send it to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. Then book in the new name once the papers carry it.

Which Gazette Should You Use?
A hotel reads an identity paper, and those are mostly central. The Gazette of India is the one to use.
Step 1: Remember what a hotel reads
An identity paper: Aadhaar, a licence, a voter card or a passport.
Step 2: Remember who issues those
Central bodies, for the most part.
Step 3: Prefer the Gazette of India
It is the one Aadhaar and the passport office recognise.
Step 4: Contact the Roorkee press only if a state notice suits another purpose
Take the contact from govtpress.uk.gov.in and ask if a private change of name notice is being accepted.
Step 5: Download the notice
Search egazette.gov.in and save the PDF.
To weigh the two, read Uttarakhand Gazette vs Gazette of India.
Which Mistakes Do Travellers Make?
| Mistake | What to do |
|---|---|
| Booking for parents in your own name | Add them as the guests |
| Leaving a nickname in the app's profile | Set the profile to your identity paper name |
| One identity paper for the whole family | One for each adult |
| Carrying only a photograph of the card | Carry the original |
| Booking in a married name the card does not carry | Book in the card's name |
| Giving a couple one surname on the booking | Each in his or her own name |
| Asking for the company's name on the bill at check-out | Ask at check-in |
| Arguing at the desk | Call whoever booked, and correct it |
| Signing the register in a different name | The name on the identity paper |
A typical case we handle: a retired couple from the plains arrived at a hotel in Nainital that their son had booked from another city. The booking was in his name. Their identity papers were their own. The desk hesitated, and the son's phone was off on a flight. He wrote to us the next week asking if his parents needed "some affidavit" to travel. They needed nothing of the kind. For their next trip he entered both their names as guests, as on their Aadhaar, and they carried the printed confirmation. This is an illustrative example of the type of case we handle, not a named client review.

That whoever provides accommodation to a foreigner submits the foreigner's details in Form C within 24 hours of arrival, and that hosts keep registers of guests, are from published accounts of the Foreigners Act, 1946 and the Registration of Foreigners Rules, 1992. We did not read those rules themselves, or the state's own rules for hotels and their registers. That hotels ask each adult for a photo identity paper is common practice. That no law requires spouses to share a surname is our own statement of the general position. How booking sites handle a guest name, bills and refunds is general knowledge, and each hotel sets its own house rules. We name no booking site and no hotel.

Names in a Hotel Booking: The Short Version
A hotel reads the guest's name on the booking against the identity paper shown at the desk. Where they differ, change the booking, since an identity paper cannot be changed for a trip. If you book for others, name them as the guests. Every adult carries an original identity paper, and a foreign guest a passport and visa. A couple with two surnames each shows a card. Ask for the bill in the name you need at check-in.
No Gazette is needed for a trip. If your own identity papers disagree, send photos on WhatsApp 9540005064, and we will reply in working hours.
