One Public Notice for Several Certificates or Children in Uttarakhand

When one Gazette public notice can cover more than one record, when each person needs a separate notice, and how to word it so every office accepts it.

Quick answer

One public notice can often cover several certificates when the same applicant and the same wrongly written name are involved, because the Gazette form names a kind of record, such as educational documents. Different family members usually need their own notices. The charge is per case, so confirm your wording with the Department before paying.

A father in Uttarakhand sorting his and his children's certificates that carry the same wrongly written name
One applicant, one notice: the same wrong name in several certificates of one kind fits one public notice, while each adult in a family needs a notice of their own.

Families ask if one public notice can settle everything: a father's name misspelt in three marksheets, in a passport and in two children's school records. Sometimes one public notice is enough, and sometimes it is not. This page explains which cases fit in a single notice, which need separate ones, and how to word each.

For what a public notice is and the papers it needs, read public notice for wrongly written name in Uttarakhand. For the charge, see public notice fee and undertaking.

What Decides If One Public Notice Is Enough?

A public notice in the Gazette of India is one person's declaration. One applicant says that a name was wrongly written in his or her records, or in a minor child's records, and gives the actual name. Everything turns on three things.

1

Who is the applicant?

A notice has one applicant. Records that belong to another adult are that adult's to declare.

2

Whose name is wrong?

The specimen lets one notice speak of more than one person's name, with the actual names given "respectively".

3

Which records?

The specimen names kinds of record, such as educational documents, not single certificates.

So the short rule is: one applicant, one notice. Inside that notice, several certificates and even more than one name can often be covered. Across different adults, each needs a notice of his or her own.

This page gives our reading of the Department's specimen. The Department of Publication decides what it will print and what it charges, and its guideline sets the charge "per case". For anything beyond one name in one kind of record, write to the Department with your draft before you pay.

Which Cases Fit in One Public Notice?

Can One Notice Cover Several Certificates of the Same Kind?

This is the most common case, and the easiest. The specimen does not ask you to list each certificate. It asks for the kind of record: educational documents, service book, driving licence, passport, PAN card or Aadhaar card.

So if your class 10 certificate, class 12 marksheet and degree all carry the same wrong spelling, the phrase "in my educational documents" takes in all of them.

It is for general information that I, SUNIL KUMAR BISHT, son of Shri DEVENDRA SINGH BISHT, residing at 5, Subhash Nagar, Haldwani, District Nainital, Uttarakhand 263139, declare that name of mine has been wrongly written as SUNIL KUMAR BIST in my educational documents. The actual name of mine is SUNIL KUMAR BISHT, which may be amended accordingly.

The name and address are made up. The certificate line, the signature and the two witnesses follow, as in every public notice.

  • Attach attested copies of each certificate that carries the error, so the file shows what "educational documents" means for you.
  • If one board or university wants its own certificate named, ask the Department if a longer wording is allowed.
  • Each board and university still has to be applied to, one by one, on its own form.

Can One Notice Cover Different Kinds of Record?

Often, yes. The specimen lists the kinds of record with slashes between them, and you keep the ones that apply. Where the same wrong name appears in two kinds, both can be kept.

It is for general information that I, ROHIT BISHT, son of Shri TRILOK SINGH BISHT, residing at Village Kasardevi, District Almora, Uttarakhand 263601, declare that name of my father has been wrongly written as TIRLOK SINGH BIST in my educational documents and passport. The actual name of my father is TRILOK SINGH BISHT, which may be amended accordingly.

Before you rely on this, check each office's own route. A passport error is usually dealt with by Passport Seva as a re-issue with its listed papers, and an Aadhaar error by an Aadhaar update. Put a record in the notice only where its office has asked for Gazette proof. A notice that lists records nobody asked about is longer, and it proves nothing extra.

What If Different Records Carry Different Wrong Spellings?

This happens more than people expect. The class 10 certificate says Bist, the service book says Bhist, and the true name is Bisht. The notice has to state each wrong form against the record that carries it.

It is for general information that I, SUNIL KUMAR BISHT, son of Shri DEVENDRA SINGH BISHT, residing at 5, Subhash Nagar, Haldwani, District Nainital, Uttarakhand 263139, declare that name of mine has been wrongly written as SUNIL KUMAR BIST in my educational documents and as SUNIL KUMAR BHIST in my service book. The actual name of mine is SUNIL KUMAR BISHT, which may be amended accordingly.

  • Pair each wrong spelling with its record. Do not list all the spellings first and all the records after.
  • Type each wrong form exactly as its record shows it.
  • Send this draft to the Department before paying, because it departs from the plain specimen.

If the Department prefers one wrong name per notice, you will need two. It is better to learn that before the fee than after.

Can One Notice Correct Two Persons' Names?

The specimen is written to allow it. It ends with "is / are ... respectively", which only makes sense when more than one name is being stated. The usual example is both parents' names wrong in the same set of papers.

It is for general information that I, ROHIT BISHT, son of Shri TRILOK SINGH BISHT, residing at Village Kasardevi, District Almora, Uttarakhand 263601, declare that names of my father and my mother have been wrongly written as TIRLOK SINGH BIST and KAMLA DEVI in my educational documents. The actual names of my father and my mother are TRILOK SINGH BISHT and KAMALA BISHT respectively, which may be amended accordingly.

  • Keep the persons, the wrong names and the actual names in the same order throughout.
  • Attach proof of each actual name, such as each parent's own identity proof.
  • Ask the Department if the charge stays at one case or rises with the second name.

Your own name and a parent's name can be combined in the same way, where both are wrong in your papers.

Can One Notice Cover Several Children?

It depends on the children's ages, because age decides who the applicant is.

Minor children

The parent is the applicant, and the specimen names the child: "my minor daughter's / my minor son's, namely ..., aged ... years". It is written for one child. For two minor children, ask the Department if both may be named in one notice. Be ready for one notice per child.

Adult children

A son or daughter aged 18 or above makes the notice for his or her own papers. If a father's name is wrong in the marksheets of two adult children, each files a notice saying "name of my father has been wrongly written ... in my educational documents".

A parent's name in one minor child's record

It is for general information that I, DEEPAK JOSHI, son of Shri HARISH CHANDRA JOSHI, residing at Village Kasardevi, District Almora, Uttarakhand 263601, declare that name of mine has been wrongly written as DIPAK JOSHI in my minor daughter's, namely ANANYA JOSHI, aged 9 years, educational documents. The actual name of mine is DEEPAK JOSHI, which may be amended accordingly.

Where a school has made the same mistake in the records of two children in one family, start with the school. A school can often correct its own register on a parent's written request with proof, with no Gazette at all. The Gazette route matters once the error has reached a board certificate.

Can One Notice Cover Several Adults in a Family?

No. Each adult's own records are for that adult to declare. A husband cannot make a public notice about his wife's marksheet, and a father cannot make one about his adult son's degree.

Who the applicant is for each record in a family
The wrong record belongs toWho appliesWhose name can be corrected in it
YouYouYours, your father's, mother's or spouse's
Your minor childYou, as parentThe child's, or yours
Your adult childThe adult childThe child's own, or a parent's or spouse's
Your spouseYour spouseThe spouse's own, or yours, in that spouse's papers

There is a way to save money here that does work. If the root error is in one person's own record, correct that record first. A father whose name is misspelt in his own Aadhaar may find that his children's later records copied it. Fixing the source often means fewer notices are needed down the line.

How Does Combining Affect the Fee?

The Department's guideline sets the public notice charge per case, and the figure in use is Rs 1,400. One applicant with one wrong name in one kind of record is plainly one case. Beyond that, we cannot tell you how the Department will count, and we will not guess.

What to expect on charges when a public notice covers more than one record or name
Your noticeWhat to expect
One name, several certificates of one kindOne charge
One name, two kinds of recordAsk. Likely one notice
Two names in one noticeAsk if it is one case or two
Two applicantsTwo notices, two charges
An alias, two addresses, or both father and husband namedRs 250 more for each, on the Department's list of additional charges

Each separate notice also needs its own newspaper notice, its own form in two copies, its own CD and its own set of papers. So the real saving from one notice is larger than the Gazette charge alone. The charge is paid on BharatKosh and is not refunded.

How to ask the Department. Send a short letter or email with your draft notice typed out in full and one question: will this be printed as one public notice, and what is the charge? A reply in writing is worth keeping in the file.

How Do You Use One Notice at Several Offices?

A published Gazette can be used any number of times. It is a public PDF, and every office can check the same issue. One notice that covers three certificates is taken to three offices.

  1. Download the whole Gazette and note the date and the page number.
  2. Print one set for each office: the first page of the issue and the page with your notice.
  3. Apply to each office on its own form, with its own fee and its own supporting papers.
  4. Start with the oldest record. A corrected class 10 certificate helps every later correction.
  5. Keep a list of which office you have applied to, with dates and receipt numbers.

Each office reads the notice for its own record. A board looks for "educational documents". An employer looks for "service book". If the office's kind of record is not in your notice, it may say the notice does not concern it. This is why the records are chosen before the notice is typed, not after.

How Do You Plan One Public Notice for Several Records?

Step 1: List every record with the error

Write down each record, whose it is, the exact wrong spelling in it and the office that holds it.

Step 2: Ask each office what it needs

Strike off the records whose office will correct them on its own form. Keep those that ask for Gazette proof.

Step 3: Group what is left by applicant

Each adult's records make one group. A minor child's records go with the parent.

Step 4: Draft one notice for each group

On the Department's specimen, name the person or persons, the wrong name or names and the kinds of record.

Step 5: Send the draft to the Department

If it goes beyond one name in one kind of record, ask if it will be printed as one notice and what the charge is.

Step 6: Prepare the file for each notice

Undertaking, newspaper notice in the same wording, form in two copies with two witnesses, CD, photographs, certificate, request letter with the fee and attested copies of every record named.

Step 7: Send each file yourself and download the Gazette

Each applicant sends his or her own file, in person or by post, to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054.

Does the Uttarakhand Gazette Allow One Notice for Several Records?

That is for the Government Press at Roorkee to say. Do not carry the Central specimen's wording over and assume it applies.

Step 1: Check which Gazette each office accepts

If even one office wants the Gazette of India, the Central route covers all of them.

Step 2: Contact the Roorkee press

Take the contact from govtpress.uk.gov.in and ask if a private public notice is being accepted.

Step 3: Send your draft with the records listed

Ask if one notice may cover them, and in which language it should be.

Step 4: Ask how the charge is counted

Ask if it is per notice, per name or per record, and how it is paid.

Step 5: Submit as directed and keep copies

Save the published PDF from gazettes.uk.gov.in and note the Bhag, date and page.

Where the records are with offices in different places, the Gazette of India is the safer choice. See Uttarakhand Gazette vs Gazette of India.

Which Mistakes Do Families Make With Combined Notices?

Common mistakes when one public notice is used for several records
MistakeHow to avoid it
One notice made by a parent for an adult child's papersThe adult child applies
A record needed later is left out of the noticeList every record before you draft
Records put in that no office asked aboutInclude only those whose office wants Gazette proof
Wrong spellings and records not pairedState each wrong form with its own record
The order of names breaks in "respectively"Keep persons, wrong names and actual names in one order
Paying before asking how the charge is countedSend the draft to the Department first
A correction and a new name mixed in one noticeThey are two kinds of notice. File them apart
The newspaper notice covers fewer records than the formUse the same wording in both
Only one printout made for three officesPrint a set for each office

A typical case we handle: a family in Rishikesh wanted "one notice for everyone". The father's name was wrong in his elder son's degree, his younger daughter's class 10 certificate and his own service book. The son was 23 and the daughter was 15. It came to three notices: the son's for his own papers, the father's for his minor daughter's record, and the father's for his service book, which his office in the end corrected with no Gazette. This is an illustrative example of the type of case we handle, not a named client review.

When you do not need us

If you have one name wrong in several certificates of one kind, you need one plain notice, and you can file it yourself. If the school or the office will correct its own record, you need no notice. We are useful when records, spellings and family members are tangled together and someone has to sort them into the fewest notices that will work. Our charge is quoted per case.

People Also Ask About One Notice for Several Records

Can one gazette notification be used for all my certificates?

Usually yes, where the same wrong name is in certificates of one kind. The form says "educational documents", which takes in all of them.

Do I need a separate gazette for each child?

For adult children, yes, each applies for his or her own papers. For minor children, ask the Department if one notice may name both.

Can a gazette notification be used more than once?

Yes. It is a permanent public record. Print a set for each office.

Can husband and wife use one gazette notice?

No. Each is a separate applicant with a separate notice.

Can I correct my father's and mother's names in one notice?

The specimen's wording allows more than one name. Confirm the charge with the Department first.

Is the fee charged per certificate?

The guideline sets the charge per case, not per certificate. Ask the Department how it counts a combined notice.

Can a Gazette notice be used years after it is published?

Yes. A published notice stays on the e-Gazette portal as a public record. Print a fresh set when an office asks for it.

Is there an original Gazette copy to hand over?

No paper original is posted to you. The PDF downloaded from egazette.gov.in, with the first page of the issue and your page, is what offices accept.

Can a corrigendum add a certificate I missed?

No. A corrigendum only repairs a printing error in a published notice. A record left out may need a further notice.

What does respectively mean in a public notice?

It links each wrong name to its actual name in the same order, so a notice can correct two persons' names without confusion.

Which record should be corrected first?

The oldest one, usually the class 10 certificate or the birth record, because later offices check against it.

Do I need a Gazette if only the school register is wrong?

Usually not. A school can often correct its own register on a parent's written request with proof.

The page is our reading of the Department of Publication's public notice specimen and guideline, checked in October 2026. The guideline does not spell out how a notice with several names or records is counted, so the page says where to ask and does not invent a rule. The sample notices use made-up names and addresses.
