Space, Dot or Joined Name Difference in Documents in Uttarakhand
For people whose name reads "Ram Kumar" on one paper and "Ramkumar" on another, or "D. S." here and "D S" there: why a computer treats these as different, which form to keep, how each office corrects it, and when anything more than a correction is needed.
A space or dot in a name that differs between two papers is not a change of name. The letters are the same. Keep the form on your class 10 certificate, and ask each other office to correct its record to it. A Gazette is almost never needed, and only where an office refuses in writing.

Nobody chooses where the spaces fall. A teacher writes "Ramkumar", a bank clerk types "Ram Kumar", and an Aadhaar operator puts a dot after an initial. For years it makes no difference. Then a computer compares two records and stops at a space or dot in a name. This page explains what a space or dot in a name means on paper, and how it is put right.
We prepare Gazette notifications for a change of name. This is not one, and we say so at the start. That initials are not allowed on a passport form is from the form itself, as Indian missions publish it. The rest is general knowledge of how records are compared. For letters that differ, read name spelling correction.
What Are the Same Letters With Different Breaks?
- What it is. Two papers that carry the same letters in the same order, and differ only in a space, a dot, a hyphen or a join.
- How a person reads it. As one name. Nobody hearing "Ram Kumar" and "Ramkumar" thinks of two men.
- How a machine reads it. As two strings that do not match. A space is a character like any other.
- Where it comes from. Whoever typed the name, on the day, with no rule to follow.
- Why it matters now. Records that were once read by clerks are compared by systems.
This is the smallest difference two papers can have. It is also the one people find hardest to believe is causing their trouble, since they cannot see it.
What Is Published?
Little is laid down about spaces and dots in a name. These are the points we could tie to a paper.
| Point | What is published |
|---|---|
| The passport form | Asks for the name of the applicant as it should appear in the passport, and says initials are not allowed |
| Parents and spouse | The same form asks for each one's full name, with initials not allowed |
| Marks in the online form | A guide to the online application says not to enter special characters such as a comma, a dot or a slash |
| Air tickets | Airlines' own guidance asks for the name as on the passport or identity card, and booking systems commonly drop punctuation |
| The PAN form | Asks for the full name without abbreviations in the first and last name, with a separate item for an abbreviated print |
One idea runs through all five. Forms want whole words, and letters without marks. A name written that way from the start has very little in it that can differ.
What Forms Does It Take?
| Kind | One paper | Another paper |
|---|---|---|
| Joined or split | Ramkumar | Ram Kumar |
| A compound given name | Chandrashekhar | Chandra Shekhar |
| Dots after initials | D. S. Rawat | D S Rawat, or DS Rawat |
| A dot after a short form | Kr. for Kumar | Kr with no dot |
| A hyphen | Anand-Kumar | Anand Kumar |
| An extra space | Two spaces between words | One |
| Capitals | RAM KUMAR | Ram Kumar |
The last row almost never matters, since most systems store names in capitals. The first two are the ones that cause refusals. Initials are a subject of their own. Read short name and full name difference in documents.
What Are the Three Kinds of Difference?
Nobody has noticed
- Two papers differ by a space, and no office has said anything
- The commonest position
- Use one form from now on. Correct papers as occasions arise
A system has refused
- A linking, a KYC check or an application failed on the difference
- One record has to be brought to the other
- A correction at the office whose record is the odd one
The break changes what the words are
- "Ram Kumar" filled as first name Ram, surname Kumar
- "Ramkumar" filled as a single given name with no surname
- Now the boxes differ as well as the space. Read our page on name order
The third kind is where a harmless space turns into a real difference. A space decides where a form thinks your given name ends and your surname begins.
Which Case Is Yours?
| The situation | Route | Gazette? |
|---|---|---|
| Aadhaar joins a name the certificate splits | An Aadhaar update, as a minor correction | No |
| PAN differs from Aadhaar by a space | A PAN correction, or correct Aadhaar, whichever is the odd one | No |
| A bank's record has an extra space or a dot | The branch corrects it on Aadhaar | No |
| Initials with dots on old papers | Expand them where a form asks. Leave the old papers | No |
| A passport form will not take initials | Give the full words, as on certificates | No |
| An online form rejects a dot or a hyphen | Type letters and single spaces | No |
| A space has put part of the name in the surname box | Read name order and surname in documents | Rarely |
| An office refuses in writing to treat the two forms as one | A correction elsewhere, or a Gazette as the last resort | Sometimes |
A plain "yes" appears in no row of this table. For a space or a dot, a Gazette is a last resort that few people reach.
How Do You Put It Right?
This is the general method. Each office has its own form for a correction.
Step 1: Write your name as your class 10 certificate has it
With its spaces exactly as printed. That is the form to keep, for most people.
Step 2: Lay your other papers beside it
Aadhaar, PAN, the bank passbook, the passport. Mark each place where a space, a dot or a join differs.
Step 3: Ask if anything has in fact been refused
A difference that no office has questioned may not need touching.
Step 4: Begin with the paper that others copy
Aadhaar first, since the bank and PAN follow it.
Step 5: Ask each office to bring its record to the same form
As a correction of spacing or punctuation, on your certificate. Say that the letters are unchanged.
Step 6: Expand initials where a form asks for a full name
A passport form does not allow initials. Give the words they stand for, as your certificates have them.
Step 7: Leave out dots, commas and other marks on online forms
Type letters and single spaces only, unless the form says otherwise.
Step 8: Use that one form on every new paper
The same breaks, the same order, from now on.
Which Form Should You Keep?
- The one on the paper that is hardest to change. For most people that is the class 10 certificate.
- A board prints a name once, from the school's list, and changes it only under its own rules.
- Aadhaar, PAN and a bank account are corrected at a counter, on that certificate.
- A person with no certificates looks to the next hardest: a pension order, a land record, a passport.
- Where two hard papers disagree, say a degree and a passport, ask which one you will show more often in the years ahead.
- Write the chosen form down, with its spaces, and give it to everyone who fills a form for you.
The form you like best is not a reason. The form that costs least to keep is. Read CBSE and ICSE marksheet name correction for how slow the other road is.
What About Dots and Initials?
- An initial is a short form of a word. "D. S. Rawat" stands for a full name that some paper of yours carries.
- The passport form says initials are not allowed, for the applicant and for the parents and spouse.
- So the question is not the dot. It is what the initials stand for, and where that is written.
- Expand them the same way every time, as your certificates or service record give the full words.
- Where no paper of yours has the full words, the expansion is itself the thing to prove. That is harder.
- Between "D. S.", "D S" and "DS" there is nothing to choose. Use none of them where a form wants a full name.
Read short name and full name difference in documents and long name cut short on cards and forms.
What About a Given Name in Two Parts?
- Many given names here are made of two words: Ram Kumar, Chandra Shekhar, Hari Datt, Prem Lata.
- Written together or apart, they are one given name.
- Trouble starts with forms that have three boxes: first name, middle name and last name.
- A clerk puts "Ram" in the first box and "Kumar" in the middle, or in the last. The next clerk puts "Ramkumar" in the first and leaves the rest empty.
- Now two records disagree about what your surname is, and the space was the cause.
- Decide which words are your given name and which your surname, from your certificates, and fill every three-box form the same way.
Read adding a surname to a single name and name order and surname first in documents.
What About Online Forms and Special Marks?
- Online forms are stricter than paper ones. Many accept letters and spaces, and nothing else.
- A guide to the passport's online form says not to enter a comma, a dot, a slash or other symbols.
- A form that rejects your name without saying why is often objecting to a dot or a second space.
- Type one space between words, and none before the first or after the last.
- Do not paste a name from another document. Hidden characters come with it.
- Where a form copies your name from Aadhaar or PAN, you cannot edit it. The source record is what has to be right.

What About the Hindi Line?
- Hindi and English do not break words in the same places. A name written as one word in Hindi is often two in English.
- Aadhaar carries the name in both scripts. The two lines need not have the same number of words.
- A difference between the Hindi line of one paper and the English line of another is not a mismatch.
- What is compared is English against English, and Hindi against Hindi.
- State certificates, land records and the family register are in Hindi. Central records are mostly matched in English.
- When you correct the English spacing on Aadhaar, read the Hindi line on the operator's screen as well.
Where Does a Gazette Come In?
Hardly ever. It comes in only where an office has refused in writing to treat the two forms as one name, and no correction of another record will serve. Then a notice that shows both forms settles it.
Step 1: Confirm that an office has refused, in writing, to treat the two forms as one
Without that, a Gazette is not needed for a space or a dot.
Step 2: Ask that office if a correction on your certificate would do
It usually does, and costs nothing.
Step 3: Fix the exact form you will keep
Every space and join, written out.
Step 4: Make the affidavit and publish the newspaper notice
Sign before a notary. Publish in a daily local leading newspaper, and keep the original newspaper.
Step 5: Type the form and sign the undertaking
Two typed copies of the specimen, with the other form shown, signed with two witnesses, and the undertaking.
Step 6: Prepare the CD, photographs and certificate
The same text on a CD in MS Word, two self-attested photographs with identity proof, and a certificate that both copies match.
Step 7: Pay the charge on BharatKosh
Commonly Rs 1,100 for an adult. It is not refunded.
Step 8: Send the file yourself, then give the notice to that office
Send it to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054.

Which Gazette Should You Use?
It depends on which office refused. For a passport office, a bank or anything outside the state, the Gazette of India is the one to use.
Step 1: Ask which office refused
A passport office and a bank are central. A board or the tehsil may be the state's.
Step 2: Prefer the Gazette of India for a central office
Or for one outside the state.
Step 3: A state office may accept a state notice
Ask it first.
Step 4: Contact the Roorkee press only if a state notice suits you
Take the contact from govtpress.uk.gov.in and ask if a private change of name notice is being accepted.
Step 5: Download the notice
Search gazettes.uk.gov.in and save the PDF.

Which Mistakes Do People Make?
| Mistake | What to do |
|---|---|
| Calling it a change of name | It is a correction. Say so at the counter |
| Buying a Gazette for a space | Ask the office to correct its record |
| Correcting the certificate to match Aadhaar | Bring Aadhaar to the certificate |
| Using an Aadhaar update on a space nobody has questioned | Updates are limited. Wait until it matters |
| Writing the name three ways on three forms | One form, written down |
| Initials on a passport form | Full words |
| Dots and commas in an online form | Letters and single spaces |
| Splitting a given name across first and middle boxes on some forms | Fill every form the same way |
| Pasting the name from another document | Type it |
A typical case we handle: a young woman in Haldwani could not complete a bank's online KYC. Her Aadhaar read "PREMLATA BISHT" and her PAN "PREM LATA BISHT". Her class 10 certificate read "Prem Lata Bisht". A cyber cafe told her she needed a Gazette. She did not. No letter of her name had changed. She had the Aadhaar centre correct the spacing to match her certificate, as a minor correction, and the bank's check then passed. This is an illustrative example of the type of case we handle, not a named client review.

People Also Ask About Spaces and Dots in a Name
Is a space in a name a mismatch?
To a system, yes. It is corrected, not changed.
Does a dot after an initial matter?
Rarely. Forms that want a full name want no initials at all.
How do I correct a space in my name on Aadhaar?
At an Aadhaar centre, on your certificate.
Are initials allowed on an Indian passport?
No. The form asks for full names.
Is a gazette needed for a space in a name?
Almost never.
Should I write my name as one word or two?
As your class 10 certificate has it.
How many times can I update my name in Aadhaar?
A bank's February 2026 guide says the identity authority allows a name update only twice in a lifetime under the standard process. So spend an update on a space only when an office has in fact refused the difference.
Why does PAN-Aadhaar linking fail on a small name difference?
Linking fails when the name or date of birth differs between the two databases. Spelling, initials and name order are common causes, and a space is one more.
Can a minor name mismatch be fixed with Aadhaar OTP?
The identity authority says that for a minor mismatch in the name, Aadhaar OTP may be used. Where the names are wholly different, one record has to be changed first.
What happens if PAN and Aadhaar stay unlinked because of a name mismatch?
A failed link can make PAN inoperative and disrupt financial work. Linking after the deadline also now needs a late fee of Rs 1,000 paid first.
Which form is used to correct a PAN from April 2026?
From 1 April 2026 the old combined form was replaced under the Income-tax Act, 2025 with new correction forms, PAN CR-01 for individuals. A name spelling correction can rest on Aadhaar or a class 10 certificate.
Should I correct PAN or Aadhaar when the space differs?
Correct whichever is wrong against your certificate. If Aadhaar is right and PAN is wrong, file a PAN correction using Aadhaar e-KYC. If PAN is right, update Aadhaar at a centre and retry linking.

That the passport application form asks for the applicant's, parents' and spouse's names with initials not allowed is from the form as Indian missions publish it. That special characters are not to be entered in the online form is from a guide to it. That airlines ask for the name as on the passport or identity card is from an airline's own page, and that booking systems drop punctuation is from a travel guide. The PAN form's rule on abbreviations is from the tax department's form. Everything else is general knowledge of how records are compared. We could not confirm how any system treats a difference of one space, or how an Aadhaar centre counts such a correction. The office whose record differs is the authority.

Spaces and Dots in a Name: The Short Version
A space, a dot or a join is not a change of name. The letters are the same, and only a machine sees two names. Keep the form on your class 10 certificate. Bring Aadhaar to it first, then PAN and the bank, each as a correction. Give full words where a form will not take initials, and type letters and single spaces on online forms. Fill three-box forms the same way every time.
A Gazette is almost never needed. To find out which paper to correct, send photos on WhatsApp 9540005064, and we will reply in working hours.
