Name Change for Serving Soldiers and Their Families in Uttarakhand
For a soldier whose own name, or a wife's, a child's or a parent's, is recorded differently in the service documents from the family's identity papers: how it is put right through the unit, what proof the services ask for, and why it should not wait for retirement.
A name change for serving soldiers and their families is asked for through the unit, which publishes it and tells the record office. Where the service record is simply wrong against the family's identity papers, it is a correction. A real change of name needs the proof the service lists, which for some ranks is a Gazette notification.

Many families in this state have a son or a daughter in uniform. A name change for serving soldiers and their families matters because the service record decides who is a soldier's wife, child or parent on the day it counts. This page explains name change for serving soldiers and their families in Uttarakhand.
We do not deal with units or record offices. We prepare the Gazette notification, where a service asks for one. The services' own channel is the only way a service record changes. The documents quoted are from the services' published uniform procedure for pension orders, as reported. For retired personnel, read name change in pension and family pension records.
Which Records Does a Soldier's Family Sit In?
| Record | Kept by | Whose names |
|---|---|---|
| The service documents | The unit while serving, and the record office | The soldier, the father, and the family as declared |
| The unit's orders on personal occurrences | The unit, copied to the record office | Marriage, births, deaths and changes, as each is published |
| The identity card and dependants' cards | The unit or station | The soldier, wife, children and dependent parents |
| Nominations | The record office and the pay and insurance bodies | Who receives dues and benefits |
| The pay account | The pay office | The soldier, with the bank account |
| Later, the discharge book and pension order | The record office and the pension authority | The soldier and the spouse, copied from the service documents |
Everything a family receives later is copied from the first row. A wife's name written from hearing on the day the marriage was reported becomes the name on the pension order thirty years on.
Why Are a Correction and a Change Different?
A correction
- The family member's name has always been what the identity papers say
- The service record has it wrong: a home name, a spelling, a missing surname
- The service is asked to correct its own record, on those papers
- No new name is being taken, so nothing has to be announced
A change of name
- The service record was right for the name the person had
- The person has since taken a different name, by marriage or by choice
- The service is asked to record the new name
- It asks for proof of the change, which may include publication
Veterans' guides press this point hard, and they are right. Families are often told to publish a newspaper notice and a Gazette for a wife whose name never changed at all. Where her Aadhaar and other papers have always carried one name and the service record carries another, ask for a correction of the service record. Say so in the first line of the application.
What Do the Services Ask For?
These rows are from the uniform procedure for a change of name in a pension order, approved for all three services and issued in 2025, as reported. It is written for retired personnel and their dependants. It shows what the services treat as proof. A serving soldier's unit will say what applies while in service.
| Whose name | Proof listed |
|---|---|
| An officer, an honorary commissioned officer or a junior commissioned officer of equivalent rank | A Gazette notification, with a personal application, Aadhaar and PAN |
| Other ranks | An affidavit from a First Class Magistrate and an advertisement in an English newspaper |
| A dependant, for a surname or a spelling | An application, Aadhaar and PAN, and an affidavit by a First Class Magistrate |
| A dependant, for a first or middle name | The same, with cuttings from two national daily newspapers |
| A purely clerical error | Corrected from the original enrolment form or service record, without these formalities |
| Who decides | The officers' record office for officers, and the respective record offices for others |
Two things stand out. A Gazette is asked for by rank, not for everyone. And a clerical error needs none of it.
Which Case Is Yours?
| The situation | Route | Gazette? |
|---|---|---|
| The wife's name in the record is a home name, and her Aadhaar has her real one | A correction of the service record, through the unit | No |
| The wife was recorded in her maiden name and now uses a married one | A change, on the marriage certificate and her identity papers | Ask the unit |
| A child's name was recorded before it was settled | A correction, on the birth certificate | No |
| A parent's name differs from the parent's Aadhaar | A correction, on the parent's papers | No |
| The soldier's own name is misspelt against the enrolment papers | A clerical correction, from the enrolment form | No |
| The soldier's Aadhaar or PAN differs from the service record | Usually the identity paper is corrected to the service record | No |
| The soldier, or a family member, has changed a name by choice | A change, with the proof the service lists for that rank | For some ranks |
Most enquiries we receive from soldiers' families are the first row, and need nothing from us.
How Does a Serving Soldier Apply?
This is the general method. The unit's clerks know the current instruction.
Step 1: Ask the unit office for a copy of your recorded family particulars
Read every name and date of birth.
Step 2: Put each family member's Aadhaar beside it
Have the family send clear copies, with the marriage and birth certificates.
Step 3: Decide for each difference if it is a correction or a change
Has the person's name ever in fact changed?
Step 4: Ask the unit office what it needs for that
Before the family spends anything on notices or affidavits.
Step 5: Get the papers made, by the family at home if need be
Identity papers corrected, an affidavit sworn, a notice or a Gazette published, as the unit has asked.
Step 6: Apply in writing through your commanding officer
With the papers attached. State plainly if it is a correction or a change.
Step 7: See the change published in the unit's orders
Note the order's number and date. Ask that it reaches the record office.
Step 8: Have the cards and nominations reissued
The dependant's card, and every nomination that names that person.
What About the Wife's Name?
- A soldier reports his marriage to the unit, which publishes it. The wife's name goes in as he gives it, often the name she is called at home.
- Years later her Aadhaar, voter card and bank account carry a formal name. The two have never been compared.
- Where her papers have always said one thing, that is a correction of the service record, on her Aadhaar, the marriage certificate and the proof the unit asks for.
- Where she has taken his surname since the marriage was recorded, that is a change, on the marriage certificate.
- Her date of birth matters as much. A family pension turns on who she is and how old.
- A joint bank account in both names, with her name as in the service record, is asked for at retirement. Open it in the right name now.
Register the marriage, if it was never registered. A certificate is the simplest proof there is. Read name correction in a marriage registration certificate and from Kumari or Devi to a husband's surname.
What About Children and Parents?
- A child's birth is reported to the unit and published. Report it with the birth certificate, in the name on that certificate.
- A child recorded under a pet name is corrected on the birth certificate and the school record. Do it before the child needs a dependant's card or a school admission on the father's service.
- Dependent parents are recorded where the soldier has declared them. Their names should be as on their own Aadhaar.
- The father's name on the soldier's own enrolment papers came from the school certificate and the village record at recruitment. Where the father's present papers differ, it is usually the father's papers that are brought into line.
- An unmarried soldier's nominee is usually a parent. Check that name too.
Read name change in birth certificate and father's name change and correction.
What Does the Family at Home Have to Do?
The soldier is at a post far away, with little leave. Most of the paperwork falls to a wife or a parent in the hills.
- Correcting Aadhaar, obtaining a birth or marriage certificate, and updating the family register are all done here, at local offices.
- An affidavit before a magistrate, where the unit asks for one, is sworn at the tehsil or district court by the person whose name it is.
- A newspaper notice is published by that person, in the paper the unit has specified.
- The district soldier welfare office helps serving soldiers' families as well as veterans. It knows the record offices' current forms.
- Send the soldier scanned copies as each paper is ready, and the originals by registered post when he asks.
Do not publish anything until the unit has said what it wants. A notice in the wrong form is money lost. Read name correction in the family register.
Why Not Wait for Retirement?
- While a soldier serves, his unit holds his documents and publishes changes itself. A guide written for veterans puts it simply: in service, only the unit's order needs to be published.
- After retirement, every change goes by post to a record office, and then to the pension authority, and the family waits.
- The pension order and the discharge book are printed from the service documents as they stand on the last day. A wrong name there becomes a wrong name in the pension system.
- If the soldier dies in service, his widow claims on the record as it is. She then has to prove, alone, that the name in it is hers.
- The last year of service has a great deal of paperwork of its own. Do this well before it.
Read ECHS card name correction for ex-servicemen, for what the same fault costs later.
What About Agniveers and the Armed Police Forces?
- Agniveers serve a fixed term. Their records are kept by their unit and record office in the same way, and their service fund is paid to a bank account in the recorded name. Check the name and the nominee early in the term.
- The central armed police forces, such as the border and reserve police, are under the home ministry. They follow the central Government's procedure for a change of name by an employee, through the battalion office.
- The state police and the home guards follow the state's rules, through their own offices.
- In each, the first step is the same: ask your own office before anything is published.
How Does the Central Gazette Route Work?
Use this only after the unit or the record office has said a Gazette notification is wanted: for a rank where the services list it, or for a family member's real change of name. A soldier should not publish a change of his own name without his unit's knowledge.
Step 1: Get it in writing from the unit what is wanted
A correction needs no Gazette.
Step 2: Copy the name exactly as the service record has it
And fix the new name exactly as it is to read.
Step 3: Make the affidavit
By the person whose name it is. Before a notary for the Gazette file, and before a magistrate as well where the service asks.
Step 4: Publish the newspaper notice
In the kind of newspaper the unit has specified. Keep the original newspaper.
Step 5: Type the form and sign the undertaking
Two typed copies of the specimen, signed with two witnesses, and the undertaking.
Step 6: Prepare the CD, photographs and certificate
The same text on a CD in MS Word, two self-attested photographs with identity proof, and a certificate that both copies match.
Step 7: Pay the charge on BharatKosh
Commonly Rs 1,100 for an adult and Rs 1,700 for a minor. It is not refunded.
Step 8: Send the file, then give the unit the published notification
Send it to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. The soldier attaches the notification to his application.
A wife or a parent in the village can do all of this from home, on WhatsApp and by courier. See gazette name change in Uttarakhand.
Would a Record Office Accept the Uttarakhand Gazette?
Veterans' guides mention a state Gazette notification among the papers for a spouse's change of name. A record office outside the state, and a pension authority after it, are reasons to ask first.
Step 1: Ask the unit or the record office which Gazette it accepts
In writing.
Step 2: Think about the pension authority, the bank and Aadhaar
The Gazette of India is read by all of them.
Step 3: Contact the Roorkee press
Take the contact from govtpress.uk.gov.in and ask if a private change of name notice is being accepted.
Step 4: Ask for the papers, the format and the fee, and submit
Keep photocopies of everything.
Step 5: Download the notice
Search gazettes.uk.gov.in and save the PDF.
To weigh the two, read Uttarakhand Gazette vs Gazette of India.
Which Mistakes Do Soldiers' Families Make?
| Mistake | What to do |
|---|---|
| Publishing a notice or a Gazette before asking the unit | Ask the unit first, in writing |
| Asking for a "change" when the record is simply wrong | Ask for a correction |
| Reporting a marriage with the wife's home name | Give the name on her Aadhaar |
| Reporting a child before the birth is registered | Register the birth, then report it |
| Changing the wife's Aadhaar to match a wrong service record | Decide which is right. Usually the record is corrected |
| Leaving it for the last year of service | Do it now |
| Not checking that the order reached the record office | Ask, and keep the order's number |
| Forgetting the nominations and the dependant's card | Have each reissued |
| Paying a tout outside a welfare office | The soldier welfare office helps without charge |
A typical case we handle: a havildar from Pithoragarh, three years from retirement, found that his service documents gave his wife as "Bimla" while every paper she held said "Vimla Devi". A shop near the cantonment told his family to publish a newspaper notice and a Gazette. They rang us. We told them to ask his unit first, since her name had never changed. The unit treated it as a correction, on her Aadhaar, their marriage certificate and an affidavit, and published it in its orders. They paid us nothing. This is an illustrative example of the type of case we handle, not a named client review.
When you do not need us
For a correction of the service record, which is most cases. The unit does it on the family's papers. We are useful only where the unit or the record office has asked for a Gazette notification, for a rank the services list or for a real change of name.
Which Areas of Uttarakhand Do We Cover?
All 13 districts: Dehradun, Haridwar, Pauri Garhwal, Tehri Garhwal, Rudraprayag, Chamoli, Uttarkashi, Nainital, Udham Singh Nagar, Almora, Bageshwar, Champawat and Pithoragarh. We work with the family at home on WhatsApp and by courier, wherever the soldier is posted.

The proof listed by rank and for dependants is from the services' uniform procedure for a change of name in a pension order, issued in 2025, as service news sites and a newspaper report it. That procedure is for retired personnel. We did not read the instructions that apply to serving personnel, which the unit holds. The difference between a correction and a change, and the advice to act while serving, follow veterans' guides. The rest is general guidance. Your unit is the authority.

A Soldier's Family Records: The Short Version
A serving soldier's record is changed through his unit, which publishes it and tells the record office. First decide if it is a correction of a wrong record or a real change of name. A correction rests on the family's identity papers and certificates. For a change, the services ask for proof by rank, which for officers and equivalent ranks includes a Gazette notification. Ask the unit before publishing anything.
Do it while serving, not after. To find out if your case needs a Gazette, message us on WhatsApp 9540005064, and we will reply in working hours.
Ask the Unit First. Publish Nothing Until It Says What It Wants.
Tell us on WhatsApp what the record says and what her Aadhaar says. We tell you, free, if it is a correction or a change.
